Automatically connect any check-in to existing entity

Updated on May 8, 2025

2 min to read

This setting defines which educational entities can be linked to a Teacher’s check-in or check-out. When enabled and configured, it streamlines the check-in process by automatically associating check-ins with relevant, planned activities.

Dropdown Filtering Behavior

Once this setting is enabled, only the selected entity types will be available in the check-in/check-out dropdown list.

Teachers can only perform check-in/out actions for these selected types.

Entity Type

Description

Session

Teaching lesson

Meeting

Parent or Student meeting

Event

Participation in Institution events

Exam

Acting as an exam Teacher

Exam Invigilation

Acting as an invigilator

Service

Delivering services or activities

Private Lesson

General Work

Non-linked general duties

Use Suggested Entity (current time)

When a Teacher accesses the Check-In/Out screen, Classter attempts to identify any scheduled activities (based on configured entity types) that:

  • Match the Teacher’s assigned work Type, that is scheduled to start soon or are currently active
  • Are eligible for check-in at the current time
  • If a valid activity is found, it is displayed in the dropdown list as a suggested entity for check-in.

If no matching scheduled entity is available at the time of check-in, the system displays the following message:

⚠️ “There is no scheduled related tasks for this Teacher. Please change the input Type to ‘Manually’ and select one of the available types.”

Manually Add Connected Entity (past or future time)

In this case, the Teacher must:

  • Switch the input Type to Manually
  • Choose from the list of work types
Example: General Work, Meeting, Event, etc.
  • Select a Time
Choose whether the check-in is for a Past, Current, or Future time.
This allows flexibility for logging duties outside the exact scheduled window.
  • Select the Specific Entity (if multiple are available)
If there are multiple options (e.g., more than one meeting or session), a dropdown will appear.
The Teacher selects the correct entity to check in or out for.
  • Confirm the Check-In or Check-Out
Once all fields are completed, the Teacher confirms the check-in/out.
The system logs the selected entity, time, and work Type.
