Grade Type

Introduction

The _Grade Type_ is an optional entity in Classter that enables institutions to classify and organize _Grades_ based on their academic structure, such as categorizing them into Program Types, Study Modes, Levels, Fields of Study etc.

The Grade Type can play an important role in structuring academic programs, enhancing filtering and reporting capabilities, supporting admissions (applicants filtering desired programs) and administrative workflows.

You can use this entity in different ways depending on your needs. For example:

  • Program Type: Full-time, Part-time, Summer Program
  • Study Mode: Online, In-Campus, Hybrid.
  • Fields of Study: Science, Arts, Business.

Or any other additional categorization according to your institution’s structure.

Important:

  • The _Grade Type_ is a single select connection in _Grades_. This means that the usage must be one to one. If you need a field, to categorize your _Grades_/programs under multiple types, then you need to choose another available entity/field.

Terminology

Classter allows you to customize how the _Grade Type_ entity appears across the system (as per your institute’s terminology).

Go to: Main Settings > Customize Terminology > Grade Type.

List of Grade Types

To view the list of Grade Types, navigate to: CONFIGURATION > Main Settings > Dropdown Lists.

  • Type: System
  • Dropdown List: _Grade Type _

 

 

From this list, you can:

  • View all available Grade Types.

 

 

  • Create new entries by clicking on + Add New.

 

 

  • Edit existing entries

 

 

  • Delete unused entries

 

 

 

_Grade Type_ Card

To create or edit a Grade Type: go to: Configuration > Main Settings > Dropdown lists > Type: System & Dropdown list: _Grade Type_ (as per your custom terminology)

Fields

  • Description: Title for the grade type. (e.g. Online)
  • Disable for new entries: This field controls the availability of the Grade Type in new entries. Its options include:
    • Not Applied: The Grade Type is fully available for all operations.
    • Disabled in New Enrollments: The Grade Type will not be available for selection in new enrollments (creating new students, students applying etc.). Existing assignments remain unaffected.
    • Disabled in Reregistration: The Grade Type will not be available during re-registration from period to period. Existing assignments remain unaffected.
    • Both: The Grade Type is not available for both new entries and re-registrations.
  • Exclude from mass updates (for Groups): Refers to the Mass Update _Groups_ function through the Advanced Configuration > Mass Imports. If enabled, then upon the update and the group matching, any group associated with this grade level will not be updated (if the group’s connected _Grade_ is connected to this _Grade Level_),

 

Tips:

  • You can configure the β€œDisable for New Entries” option if you want the Grade Type to no longer be selectable, while keeping existing records unchanged.
  • Use β€œExclude from mass updates” in cases where certain academic structures require stability and should not be affected by bulk actions.

 

Connections

To create a connection between a Grade and a Grade Type, go to Main Settings > Educational Programs > _Grades_ > Select a _Grade_ to edit > General Data > choose the desired _Grade Type_ > click Save.

 

 

Example

K-12 structure example:

  • Early years and primary education levels (Childcare, Nursery, Reception, Year 1–Year 6) are grouped under Primary Level.
  • From Year 7 onwards, all Grades are categorized under Secondary Level.

  • Full-time and Part-time programs (MBA FT or MBA PT)
  • Foundation program or Exchange Program etc.

Admission: Application creation, filter Grades/Programs

 

 

Delete

To delete a Grade Type, go to Dropdown Lists > select the required Grade Type > click Delete > type β€œdelete” in the confirmation window > click Delete.

 

 

 

Notes:
Deletion is only allowed if:

  • The Grade Type is not assigned to any Grades or Classroom Grade Types.

 

 

If it is in use:

  • Remove all connections first, or
  • Edit the Grade type and Use Disable for New Entries option.

 

Best Practices

To ensure proper use of Grade Type, consider the following:

  • Avoid too many Grade Types to maintain consistency.
  • Use standardized naming.
  • Avoid duplication of similar entities.
  • If a Grade Type is already used, disable it instead of deleting it.
