New Transaction Email User

Overview

Select the person you want to be notified via E-mail, when issuing a transaction/New_Transaction_Email_User is a setting located in Financial Settings > General Settings > Transaction Settings, under the New Transaction Form Setting sub-group.

 

What This Setting Does

This setting determines who receives an informational e-mail when a user saves a Transaction using the “Save and send E-mail” option. The institution can choose whether the notification goes to the financial contact, the payer, or both.

 

Where It Is Used

This setting affects the New Transaction form, specifically the “Save and send E-mail” action used when issuing a Transaction such as a payment, receipt, or invoice. It takes effect every time a user saves a Transaction with that option, determining the recipient(s) of the automated notification e-mail.

  • Main Menu > Financial > Transactions (New Transaction form, Save and send E-mail action)

 

Business Logic / Behavior

  • This is a dropdown (single-select) setting, not a simple on/off toggle.
  • The available options are: Financial Contact, Payer, or Both.
  • The default option is Financial Contact.
  • The notification e-mail is only sent when the user explicitly chooses the “Save and send E-mail” option while issuing the Transaction, not on every save.

 

Example(s)

An Academy configures this setting to “Both”. A Finance Officer issues a $1,200 invoice Transaction on March 3 for a _Student_ [Learner] and selects “Save and send E-mail”. Because the setting is set to “Both”, the notification listing the $1,200 amount and the March 3 issue date is sent to both the family’s designated financial contact (the mother, at parent1@example.com) and the payer of record (a corporate sponsor, at billing@sponsor-example.com), instead of only one of them, so neither party is left unaware of the charge.

 

When to Use

Configure this setting based on who in the institution’s billing structure should be kept informed of new Transactions. Choose Financial Contact if the person managing the account is not always the one paying. Choose Payer if the priority is to notify whoever is financially responsible for the charge. Choose Both if the institution wants to ensure that all relevant parties are notified, for example when the financial contact and the payer are different people.

 

Notes

Prerequisites: A valid e-mail address must be on file for the financial contact and/or payer for the notification to be delivered.

  • Allow the reason and remark to be transferred to the online payment/Allow_Reason_And_Remark_To_Be_Transfered_To_The_Online_Payment (Financial Settings > General Settings > Transaction Settings > New Transaction Form Setting)
  • Do not allow backoffice users to edit installments amount in Transaction payment process/Do_not_allow_backoffice_users_to_edit_installments_amount_in_Transaction_payment_process (Financial Settings > General Settings > Transaction Settings > New Transaction Form Setting)
  • Enable the use of proposals based on arrangement payers and for the selected operational processes/Enable_the_use_of_proposals_based_on_arrangement_payers_and_for_the_selected_operational_processes (Financial Settings > General Settings > Transaction Settings > New Transaction Form Setting)

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
