Automated Class-Group title and Abbreviation Creation

Overview

The “Automated Group title And Abbreviation Creation” setting controls whether Classter automatically fills in the Title and Description (referred to by this setting as the “Abbreviation”) of a Group (Class, Academic Cohort), or whether staff must type these fields in by hand. When the setting is switched on, Classter keeps the Title and Description of a Group up to date automatically, based on the Subjects (Courses) assigned to it, removing the need for manual data entry and keeping naming consistent across the institution.

 

What This Setting Does

This is a simple on/off (checkbox) setting.

When enabled: every time the list of Subjects (Courses) assigned to a Group is saved or updated – for example when assigning subjects to a class, importing enrollments in bulk, or linking a new activity or subject to the group – Classter automatically:

– Sets the Group’s Title to the Group’s own identification code (the code already used to identify that Group in the system).

– Sets the Group’s Description (the “Abbreviation”) to a list of the titles of all active Subjects (Courses) currently linked to that Group, with each title separated by a backslash ( \ ). If the combined list of titles is very long, Classter shortens it to the first 250 characters.

When disabled: staff must manually type both the Title and the Description when creating or editing a Group. Nothing is filled in automatically, and both fields stay exactly as typed until someone edits them again.

Where It Is Used

This setting is found in: Settings > Basic Customization > Core Entities Settings, listed as the checkbox “Automated Group title And Abbreviation Creation.”

It affects the Group creation and edit screens:

– When enabled, the Title and Description fields on the Group form become read-only (shown with a placeholder), since Classter will fill them in automatically once Subjects are assigned.

– When disabled, these fields remain open for staff to type in freely.

The automatic fill-in itself takes effect whenever the Subjects (Courses) attached to a Group change, such as through the Group’s subject/course assignment screen, a bulk enrollment import, adding an activity that links to the group, or a teacher’s course-group assignment.

 

Business Logic / Behavior

– The automatic Title and Description update only happens once the Group has at least one active Subject (Course) assigned to it. A brand-new Group with no subjects yet will show the Title and Description fields as read-only, but they remain empty until a subject is added.

– The Title is always set to the Group’s own identification code, not a descriptive name typed by staff.

– The Description is rebuilt from scratch every time the list of assigned Subjects changes, so it always reflects the subjects currently linked to that Group.

– If the institution also uses the setting that blocks duplicate Titles/Descriptions for Groups (see Notes below), that duplicate check is skipped for any Group while this setting is enabled. This is because the Title and Description are generated by the system rather than freely chosen by staff, so checking them for duplicates would not be meaningful.

 

Example(s)

Example 1 – Setting enabled

Riverside Academy enables “Automated Group title And Abbreviation Creation.” A staff member, Maria P., creates a new Group with identification code “204” and assigns two Subjects to it: “Algebra Fundamentals” and “Creative Writing Workshop.” As soon as the subjects are saved, Classter automatically:

– Sets the Group’s Title to “204.”

– Sets the Group’s Description to “Algebra Fundamentals \ Creative Writing Workshop.”

A few weeks later, a third subject, “Introduction to Biology,” is added to the same Group. Classter automatically updates the Description to “Algebra Fundamentals \ Creative Writing Workshop \ Introduction to Biology,” without any staff member needing to edit the field.

Example 2 – Setting disabled

At Northfield Institute, the setting is left disabled. When staff member George S. creates a new Group, he must type both a Title (for example, “Grade 8 – Morning Section”) and a Description by hand. If the institution also has duplicate-checking enabled for Groups, Classter checks that no other Group already uses the same Title or Description before allowing the entry to be saved.

 

When to Use

When to Enable

– The institution has many Groups and wants their Title and Description to consistently reflect the subjects assigned to them, without staff having to type this in every time.

– Staff want an at-a-glance way to see which Subjects belong to a Group directly from its Description.

– The institution wants to reduce manual data entry and avoid inconsistent or misspelled Group names.

When to Disable

– The institution prefers descriptive, custom Group titles (for example, “Grade 10 – Science Track”) rather than a title based only on the Group’s identification code.

– Duplicate-title/description checking for Groups is important to the institution, since that check is skipped for Groups while this setting is enabled.

– Groups typically have many subjects assigned, or subjects change frequently, which could make the automatically generated Description long or subject to frequent, unexpected changes.

 

Notes

– This setting behaves the same way whether Higher Education Mode is enabled or disabled – there is no difference in behavior between the two modes.

– Related setting: “Do not allow duplicate abbreviation / description for the following Entities” (Settings > Basic Customization > Controls, Filters and Checks – Do_Not_Allow_Duplicate_Abbreviation_Description_For_The_Following_Entities). When this related setting includes Groups in its list, Classter normally blocks saving a Group whose Title or Description matches another Group’s – but this check does not apply to Groups while Automated Group Title And Abbreviation Creation is enabled.
