Overview
Default Location for Students Found With No Record in Period/OP_Default_Location_For_Students_With_No_Record_In_Period_Free is a setting located under Financial Settings > General Settings > e-Payments, in the Transaction properties for addressing for Free Value Payments sub-group.
What This Setting Does
This setting defines a fallback _Location_ to use when the system automatically addresses an online Free Value Payment for a _Student_ who does not have an active enrollment record at that _Location_ during the relevant academic period. Since automatic addressing normally relies on the _Student_’s existing record to know which _Location_ the payment belongs to, this setting provides a default so the transaction can still be created correctly even when that record is missing.
Where It Is Used
This setting is used automatically in the background rather than being read from any staff-facing page. It is applied by the automatic addressing process that runs when an online Free Value Payment is completed, specifically for the edge case where the paying _Student_ has no matching record in the period, so its effect is visible afterward rather than on a configuration screen.
- Main Menu > Financial > Transactions > Online Payments: once such a Free Value Payment has been automatically addressed using this fallback _Location_, the resulting transaction can be reviewed here, where each payment row shows whether it has been addressed and links to the transaction that was generated.
Business Logic / Behavior
- The value is selected from the list of _Locations_ configured for the institution.
- This fallback only applies to Free Value Payments where automatic transaction addressing is enabled and the paying _Student_ has no record in the applicable period.
- If this default _Location_ is left unset and a _Student_ with no matching record makes a Free Value Payment, automatic addressing fails or requires manual intervention, since there is no _Location_ to assign the transaction to.
- This setting is most relevant for institutions with multiple _Locations_ (campuses or branches), since a single-location institution has an unambiguous default already.
Example(s)
College Alfa operates two campuses. A _Student_ named Alex Turner makes a $180 online Free Value Payment on September 3, before his enrollment record for the new term has been finalized at either campus. Because the finance team configured Default Location for Students Found With No Record in Period (Free Value Payments) to “Main Campus”, Classter automatically assigns Alex’s $180 payment transaction to Main Campus instead of leaving it unaddressed.
When to Use
This is a dropdown selection rather than a toggle, so it is relevant for institutions that use automatic addressing for Free Value Payments and want a safety net for missing enrollment records.
Configure this setting when the institution has more than one _Location_ and enables automatic addressing of Free Value Payments, to avoid unaddressed transactions when a _Student_’s record is not yet available for the period. If the institution has only one _Location_ or always addresses Free Value Payments manually, this setting is less important.
Notes
- Prerequisite: Free Value Payments and automatic transaction addressing for Free Value Payments should be enabled; this setting is only consulted when a matching student record cannot be found.
