Overview

The Financial Overview: Calculate Totals in Quick View Only for Arrangements with Educational Programs that Have the Following Statuses setting (Financial_Overview_Calculate_totals_in_quick_view_only_for_arrangements_with_educational_programs_that_have_the_following_statuses) is located in Financial Settings > General Settings > General Financial Parameters, under the Additional Settings sub-group.

 

What This Setting Does

The Quick View of the financial overview form shows summarized totals for a _Student_’s financial arrangements. This setting lets an institution restrict those quick-view totals so that they are only calculated from arrangements linked to an educational program (such as an enrollment or academic track) that currently has one of the selected statuses (for example, Active or Enrolled). For arrangements that are not linked to any educational program, the totals are instead filtered based on the _Student_’s own status within the academic period.

 

Where It Is Used

This setting affects the following screen, used by finance and administrative staff to get a fast summary of _Students_’ financial standing.

  • Main Menu > Management > Financial > Financial Overview > Quick View panel – the totals shown in this panel at the top of the screen are calculated according to this setting.

 

Business Logic / Behavior

  • This is a multi-select setting; the administrator selects one or more _Student_ / educational program statuses (referred to in the system as conditions) that should be included in the Quick View totals calculation.
  • When at least one status is selected, only arrangements associated with an educational program carrying one of those statuses contribute to the Quick View totals.
  • Arrangements that have no associated educational program are instead filtered using the _Student_’s status within the academic period, rather than the educational program’s status.
  • Once any status is enabled in this setting, the Quick View counters do not include data from other academic periods; the totals become scoped to the current academic period only.
  • If no status is selected, this filtering does not apply and totals are calculated using the platform’s standard (unrestricted) logic.

 

Example(s)

At Example Academy, a _Student_ named Sam has two arrangements: a $3,000 arrangement tied to an educational program Sam withdrew from mid-year, now marked Withdrawn, with $500 of it still unpaid, and a $2,500 arrangement tied to a Bachelor’s program still marked Active, with $1,800 still outstanding. Before this setting is configured, the Quick View shows a combined outstanding balance of $2,300 ($500 plus $1,800) for Sam. An administrator named Alex selects only the “Active” status in this setting. From then on, when a staff member named Jane opens the financial overview for Sam, the Quick View totals include only the $2,500 arrangement tied to the Active program, showing $1,800 outstanding, while the $500 owed on the Withdrawn program’s arrangement is excluded entirely, giving Jane a more accurate, up-to-date picture of amounts actually still due from Sam’s current enrollment.

 

When to Use

Use this setting when the institution wants the Quick View summary to reflect only financially relevant, currently valid enrollments rather than including arrangements tied to inactive, withdrawn, or completed educational programs. This is helpful for institutions with high turnover in enrollment status or multiple academic periods, where outdated arrangements could otherwise distort the quick summary. If the institution prefers the Quick View to always reflect all arrangements regardless of program status, this setting can be left unconfigured.

Prerequisite: the relevant _Student_ / educational program statuses (conditions) must already be defined in the system before they can be selected here.

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
