Overview

Return Special outstanding amount if it is more than X amount/ReturnSpecialAmountIfItIsMoreThenX is a setting located under Financial Settings > General Settings > Other Payments, in the Special Outstanding Amount sub-group.

 

What This Setting Does

This setting defines a minimum threshold amount. When enabled (set to a value greater than zero), Classter calculates a special outstanding balance for a _Student_ or family across all financial periods, based on the other Special Outstanding Amount settings, and only reports this special amount when it exceeds the threshold entered here. This calculated figure can be used purely for informational purposes, or it can be shown on an external card benefits verification page, for example to determine whether a _Student_’s account is in good standing before granting access to a benefit or service.

 

Where It Is Used

This setting was found referenced directly in the Portal’s _Student_ screens, where it controls whether a special outstanding-amount action is available. The main places affected are:

  • Main Menu > _Students_ > _Student_ List > (open a _Student_) > Actions menu – the “Set Outstanding Amount Exception” action only appears when this setting is greater than zero (and the user has the required right), letting staff record an exception to a _Student_’s special outstanding balance.
  • Main Menu > _Students_ > _Student_ List > Bulk Actions – the same “Set Outstanding Amount Exception” action is also offered as a bulk action across multiple selected _Students_, subject to the same condition.

The underlying special outstanding-amount balance calculation that this threshold applies to is also used for informational reporting and feeds an external card benefits verification page used to check a _Student_’s or cardholder’s financial standing before granting benefits.

 

Business Logic / Behavior

  • This is a numeric (decimal) field, allowing the institution to enter a monetary threshold amount.
  • If the value is set greater than zero, Classter calculates an additional outstanding amount across all periods based on the institution’s related configuration.
  • If the value is zero or not set, the special outstanding amount calculation is not performed or not returned.
  • The calculated amount is only returned/shown when it is more than the configured threshold value.

 

Example(s)

Alpha Institute wants to flag families whose overdue balance across all periods exceeds $500 on the external benefits verification page. The finance office sets this setting to 500. The Garcia family’s account shows $650 in unpaid installments across all periods; because $650 is more than the $500 threshold, that $650 is flagged and returned as a special outstanding amount on the benefits verification page. The Nguyen family’s account shows only $300 in unpaid installments; since $300 does not exceed the $500 threshold, no special outstanding amount is returned for that family and they are not restricted from the benefit.

 

When to Use

Use this setting when the institution wants to identify and report on outstanding balances that exceed a specific amount, whether for internal informational tracking or to control access to an external card-based benefit depending on financial standing. Set the value to zero (or leave it unset) if this special calculation is not needed.

 

Notes

Prerequisite: for meaningful results, the related settings in this sub-group (days-passed threshold, installment cutoff date, and _Grade_ Type/_Grade_ Level filters) should also be reviewed, since they refine which installments and arrangements are included in this calculation.

  • How many days from installment due date should have been passed in order the installment to be included in the special due balance amount (HowManyDaysFromInstallmentDueDateShouldHaveBeenPassedInOrderTheInstallmentToBeIncluded in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)
  • Include installments until (SpecialOutstandingAmount_IncludeInstallmentsUntil in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)
  • Include arrangements of the following _Grade_ Types (SpecialOutstandingAmount_IncludeArrangementsOfGradeTypes in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)

K-12 vs Higher Education: This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
