Overview
Include installments until/SpecialOutstandingAmount_IncludeInstallmentsUntil is a setting located under Financial Settings > General Settings > Other Payments, in the Special Outstanding Amount sub-group.
What This Setting Does
This setting defines a cutoff date. Any unpaid installment with a due date, or pay date, later than this cutoff date will be excluded from the special outstanding-amount balance calculation. This lets the institution limit the calculation to only the installments that were due up to a certain point in time, ignoring future-dated installments that are not yet a concern.
Where It Is Used
This setting feeds the same special outstanding-amount calculation as Return Special outstanding amount if it is more than X amount/ReturnSpecialAmountIfItIsMoreThenX, and affects the same areas:
- Main Menu > _Students_ > _Student_ List > (open a _Student_) > Actions menu > Set Outstanding Amount Exception – this action is only available when the related threshold setting is greater than zero; this setting controls the cutoff date up to which installments are counted toward that special balance.
- Main Menu > _Students_ > _Student_ List > Bulk Actions > Set Outstanding Amount Exception – the same bulk action is affected in the same way.
The setting itself is configured at Main Menu > Financial Settings > General Settings > Other Payments > Special Outstanding Amount.
Business Logic / Behavior
- This is a date field, letting the institution pick a specific cutoff date.
- If a date is set, any installment with a pay date later than the selected value will not be included in the special outstanding amount calculation.
- If left empty, there is no cutoff, meaning installments due at any point in time can be considered for the calculation.
Example(s)
Alpha Institute wants its special outstanding amount calculation to reflect only installments due through the end of the first semester. The finance office sets Include installments until to December 31, 2026. An unpaid $400 installment with a pay date of December 15, 2026 is included in the calculation, since that date falls on or before the cutoff. An unpaid $350 installment with a pay date of January 15, 2027 is excluded from the calculation, even though it is unpaid, because January 15, 2027 is later than the December 31, 2026 cutoff.
When to Use
Use this setting when the institution wants to limit the special outstanding amount calculation to a fixed point in time, for example to freeze the calculation as of a semester end or a specific reporting date, rather than always including all installments regardless of due date.
Notes
Prerequisite: this setting only has an effect when Return Special outstanding amount if it is more than X amount/ReturnSpecialAmountIfItIsMoreThenX is set to a value greater than zero, since that setting controls whether the special calculation runs at all.
- Return Special outstanding amount if it is more than X amount (ReturnSpecialAmountIfItIsMoreThenX in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)
- How many days from installment due date should have been passed in order the installment to be included in the special due balance amount (HowManyDaysFromInstallmentDueDateShouldHaveBeenPassedInOrderTheInstallmentToBeIncluded in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)
- Include arrangements of the following _Grade_ Types (SpecialOutstandingAmount_IncludeArrangementsOfGradeTypes in Financial Settings > General Settings > Other Payments > Special Outstanding Amount)
K-12 vs Higher Education: This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
