Overview
Entities to update pricing category based on educational program changes is a setting found under Financial Settings > General Settings > Price Lists,Fees & Taxes, in the Price List Configuration sub-group.
What This Setting Does
This setting lets the institution choose which types of records – _Subjects_ (Courses) and/or Services – should automatically get their pricing category updated whenever the pricing category of the related educational program changes. In other words, it controls the ripple effect: if a student’s educational program’s pricing category is changed, this setting decides whether that change should also be pushed down to the student’s enrolled Subjects, their enrolled Services, both, or neither.
Classter will only apply this update when there is no active or managed financial arrangement in place for that enrollment, so that special pricing agreements already negotiated with a student are not overwritten.
Where It Is Used
This setting is applied directly in the Portal’s student-saving logic, where it decides whether Subject and Service pricing categories are refreshed after an educational program change. The main screen where this comes into play is:
- Main Menu > Students > Student List > Student Profile > Educational Programs – editing or saving a student’s educational program details triggers the pricing category cascade to the student’s enrolled Subjects and Services, based on the entities selected in this setting.
- Main Menu > Students > Student List > Student Profile – the same cascade check applies whenever a student’s record is saved with updated Subject enrollments (Subjects/Courses tab) or Service enrollments (Activities/Services tab).
Business Logic / Behavior
- This is a multi-select (pick one or more options) setting. The available choices represent the entity types that can be kept in sync with the educational program’s pricing category: Subjects and Services.
- If Subjects is selected, changing the pricing category on a student’s educational program will also update the pricing category of that student’s Subject enrollments.
- If Services is selected, the same update will apply to the student’s Service enrollments.
- Both options can be selected together so that both Subjects and Services stay synchronized with the educational program’s pricing category.
- This update only applies when there is no active or managed financial arrangement for the affected enrollment – enrollments under a special pricing arrangement are left untouched.
- If no options are selected, changing the educational program’s pricing category will not cascade to any Subject or Service records automatically.
Example(s)
Fictional example: College A changes a student’s educational program pricing category from Standard (which prices each Subject at $400 per semester) to Alumni Discount (which prices each Subject at $320 per semester, a 20% reduction) midway through the year because the student qualified for the discount. The student is currently enrolled in 4 Subjects and 1 Service (a $150-per-semester meal plan).
If this setting includes Subjects, all 4 of that student’s enrolled Subjects automatically switch from $400 to $320 per semester under the Alumni Discount pricing category – a combined saving of $320 across the 4 Subjects – unless a Subject has its own active payment arrangement, in which case it is skipped and stays at $400. If Services is also included, the $150 meal plan Service is likewise updated to whatever rate the Alumni Discount pricing category defines for it.
When to Use
This setting matters whenever the institution changes pricing categories on educational programs after students are already enrolled in Subjects or Services, and wants those existing enrollments to reflect the new pricing category automatically instead of requiring manual updates to each Subject or Service. Select Subjects, Services, both, or leave it empty depending on how much automatic synchronization the institution wants; leaving it empty means pricing category changes on the educational program stay isolated and do not cascade automatically.
Notes
Prerequisites: pricing categories must be configured and already assigned to Subjects and/or Services for a meaningful update to occur; this setting has no effect if pricing categories are not in use.

- Keep the same Pricing category when transferring an educational program from period to period (Financial Settings > General Settings > Price Lists,Fees & Taxes > Price List Configuration)
K-12 vs Higher Education: This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education) is enabled or disabled.
