Enable Alumni Periods For Registered And Admission Students

Overview

The Enable Alumni periods for registered and admission Students setting determines whether Students who are currently enrolled (Registered Students) or in the process of applying (Applicants / Admission users) can also view and access academic periods in which they previously held the Graduated (Alumni) status.

By default, only users with an Alumni user type — logged in through the Alumni portal — can see the periods in which they have graduated. This setting extends that access to two additional user types, allowing them to see their graduated periods alongside their current active period, all from within their current portal (Student portal or Admission portal).

 

What This Setting Does

This is a multi-select setting with two independent options that can be enabled separately or together:

Option 1 — Registered Student

When selected, Students who are currently registered in an active academic period will also see — and be able to switch to — any academic periods in which they previously graduated. This allows them to navigate to those historical periods and access their academic data from within the Student portal, without needing to use the Alumni portal separately.

 

Option 2 — Admission

When selected, users currently in the admission process (Applicants) will also see — and be able to switch to — any academic periods in which they previously graduated. This allows them to access their past academic records from the Admission portal during the application process.

Both options can be selected simultaneously if both user types should benefit from this expanded access. If neither option is selected, the setting is effectively disabled and only users logged in as Alumni can view their graduated-status periods.

 

Where It Is Used

Setting path: Main Settings > General Settings > Security Settings > Accounts & Roles

Portals affected:

  • Student Portal — when the Registered Student option is selected.
  • Admission Portal — when the Admission option is selected.

When this setting is active, the academic period selector located at the top-right corner of the portal will include, in addition to the current active period, any historical periods where the logged-in user’s registration status was Graduated. Users can click that dropdown and switch to one of those graduated periods to view the information available for that time.

 

Business Logic / Behavior

When a user logs into Classter, the system determines which academic periods they are allowed to access. Normally, a Registered Student or Admission user can only see periods that are currently active and in which they hold an active registration status.

This setting adds an additional rule to that process:

If “Registered Student” is selected: The system will also include, in the period selector, any active academic periods where that same user previously held the Graduated status — that is, periods where they completed their studies.

If “Admission” is selected: The same logic applies to Admission users. Periods where the user previously graduated are added to the list of periods they can access through the Admission portal.

Conditions that always apply (regardless of which options are selected):

  • The graduated period must be configured as an active portal period in the system (Active School Portal Periods setting). Inactive periods will not appear even if this setting is enabled.
  • The user must have an actual registration record with Graduated status in the target period. Periods where the user was never registered will not be shown.
  • This setting applies only to the individual user’s own enrollment history. It does not grant visibility into the periods of other students.

 

K-12 Mode vs. Higher Education Mode

This setting works in both K-12 and Higher Education modes, but its practical relevance differs between the two.

K-12 Mode (Enable Configuration for Higher Education is disabled): In K-12, a student typically follows a single progression through Grades at one institution. It is relatively uncommon for a student to graduate and then return as a Registered Student. However, the setting is applicable when the same institution covers multiple educational levels — for example, primary and secondary — and a student moves between those levels within the same Classter environment. If the completed level’s period is marked as Graduated, this setting allows the student to see that period in their new portal after re-enrollment.

Higher Education Mode (Enable Configuration for Higher Education is enabled): In Higher Education, students frequently complete one degree and then enroll in another at the same institution — for example, a student who completed a Bachelor’s program and is now registered in a Master’s program. The Bachelor’s period carries a Graduated status, while the Master’s enrollment is a Registered Student status. With this setting enabled for Registered Student, the student can switch to their graduated Bachelor’s period from within the Student portal and review their undergraduate academic data, without needing to use the Alumni portal separately.

In Higher Education, the Admission option is equally relevant: a former graduate applying for a new program will have Admission user status for the new period. Enabling Admission lets them access their previous graduated period from the Admission portal during the application process.

 

Examples

 

Example 1 — Higher Education, Registered Student option

Greenfield University operates in Higher Education mode. Maria completed her Bachelor of Business Administration degree in the 2021–2022 academic period. Her registration status in that period is Graduated. She was then admitted to the MBA program and is currently registered as a Student for the 2024–2025 academic period.

Without this setting: Maria logs into the Student portal and can only see the 2024–2025 period. To view her undergraduate records (marks, subjects, academic progress), she would need to log in separately through the Alumni portal.

With “Registered Student” selected: Maria logs into the Student portal and the period selector in the top-right corner shows both 2024–2025 (her current period) and 2021–2022 (her graduated period). She can switch to 2021–2022 directly and review her Bachelor’s academic records without leaving the Student portal.

 

Example 2 — Higher Education, Admission option

James graduated from the Computer Science Bachelor’s program at Northgate College in the 2022–2023 academic period. He is now applying for the Master’s program and has an Admission user account for the 2025–2026 period.

Without this setting: James logs into the Admission portal for 2025–2026 and can only see the current admission period. He cannot access his 2022–2023 academic records from the Admission portal.

With “Admission” selected: James logs into the Admission portal and the period selector also shows 2022–2023 (his graduated period). He can switch to it and view his undergraduate academic data during the application process.

 

Example 3 — K-12, Registered Student option

Oakwood School covers both primary and secondary education under one Classter environment. Thomas graduated from the primary level (Grade 6) in 2020–2021 with a Graduated status. He was then re-enrolled in the secondary program as a Registered Student starting in 2021–2022.

With “Registered Student” enabled and the 2020–2021 period configured as an active portal period: Thomas can switch to his 2020–2021 graduated period from the Student portal and review his primary-level academic records alongside his current secondary enrollment.

 

When to Use

 

Enable the “Registered Student” option when:

  • Your institution has returning or continuing Students who previously graduated from one program and are now registered in another. This is especially common in Higher Education.
  • Students need to access their historical graduated-period academic data from within the Student portal, without having to switch to the Alumni portal.
  • The institution operates multiple educational levels or programs under the same Classter environment and continuity of access between levels matters for the student experience.

 

Enable the “Admission” option when:

  • Applicants who previously graduated from a program at your institution may need to reference their historical academic records during the admission process for a new program.
  • The institution allows re-admission of former graduates and wants to give those applicants access to their past period records through the Admission portal.

 

Leave disabled (or deselect) when:

  • Your institution does not have a scenario where Registered Students or Admission users need to access historical graduated periods — for example, a standalone K-12 school where students complete their studies and do not return.
  • You prefer that alumni-period data is only accessible through the dedicated Alumni portal, keeping the Student and Admission portals focused on current or upcoming enrollment.
  • Period history should remain separated by portal type for organizational or data governance reasons.

 

Notes

 

Prerequisites

  • Academic periods with Graduated status must already exist and be properly configured in the system before enabling this setting.
  • The periods that should appear in the period selector must also be included in the Active School Portal Periods configuration. Periods not listed there will not be accessible to any portal user, even with this setting enabled.
  • Students must have an actual enrollment record with Graduated registration status in the target period.

 

Related Settings

Enable admission periods for registered and alumni Students (Main Settings > General Settings > Security Settings > Accounts & Roles — Enable_Admission_Periods_For_Registered_And_Alumni_Students): The companion setting that works in the opposite direction. It allows Registered Students and Alumni users to also see and access academic periods that have Admission status.

Academic Periods available for Admission (Admission > Admission Settings > General Admission Settings > Basic Settings — Admission_Enabled_School_Periods): Defines which academic periods are open for admission. Relevant in combination with the Admission option of this setting.

Active School Portal Periods (Main Settings > General Settings > Security Settings — SchoolPortal_Energes_Periodoi): Defines which academic periods are visible to portal users. Graduated-status periods must be listed here to appear in the period selector when this setting is enabled.

Show Academic Data to Alumni Portal (Main Settings > General Settings > Dashboard Settings > Alumni Portal Settings & Rights — ShowAcademicDataToAlumniPortal): Controls whether Alumni users can view their academic data through the Alumni portal. This is a related but separate setting governing the Alumni portal specifically, while the current setting governs the Student and Admission portals.

Enable Configuration for Higher Education (Main Settings > General Settings > Higher Education Customization > Basic Settings — Xrisi_parametropoihshs_kolegiou): Determines whether the system operates in Higher Education mode or K-12 mode. The current setting works in both modes, but its practical impact is most significant in Higher Education, where students commonly graduate from one program and enroll in another at the same institution.
