Overview

This article describes the setting ‘Financial transactions are allowed only for the selected Student educational program statuses’ (Setting ID: Katastasis_Mathiton_gia_Pliromes), located under Financial Settings > General Settings > Transaction Rights & Controls > Basic Settings.

 

What This Setting Does

This setting controls which enrollment (educational program) statuses a _Student_ must have in order for financial transactions to be recorded against them. By default, only _Students_ with a registered status are eligible for financial transactions. This setting lets an institution select one or more additional custom statuses so that _Students_ in those statuses can also have financial transactions issued and recorded. If an arrangement is linked to a specific educational program, Classter checks the status of that educational program rather than the general _Student_ status.

 

Where It Is Used

This setting affects the screens where an invoice, receipt, or payment is issued for a _Student_. When staff open the Issue Invoice/Receipt window, Classter only lists _Students_ (and their arrangements) whose status matches one of the values selected in this setting, so it takes effect immediately for any new transaction being issued after the setting is saved.

  • Main Menu > _Student_ > _Student_ List > open a _Student_’s record > Financial tab > Issue Invoice/Receipt.
  • Main Menu > Financial > List of Payers > Issue Invoice/Receipt for the selected payer.

 

Business Logic / Behavior

  • Only _Students_ whose status matches one of the values selected in this setting are allowed to have financial transactions recorded against them.
  • By default, only the standard ‘registered’ status is included; additional custom statuses must be explicitly added by an administrator.
  • When an arrangement is tied to a specific educational program, the system checks the educational program’s status instead of the _Student_’s general enrollment status.
  • This is a multi-select setting, meaning multiple statuses can be chosen at the same time to be considered eligible for financial transactions.

 

Example(s)

Example: Alpha Institute normally only allows payments to be recorded for actively registered _Students_. For the upcoming academic year, the school wants to collect a $250 non-refundable deposit from 40 _Students_ who are in a ‘Pre-Enrolled’ status before they are fully registered. Without this setting, the Issue Invoice/Receipt window does not list any of those 40 Pre-Enrolled _Students_, so the $250 deposit cannot be recorded against them. By adding ‘Pre-Enrolled’ to this setting’s list of allowed statuses, the finance office can now issue and record the $250 deposit transaction for all 40 Pre-Enrolled _Students_, in addition to fully Registered ones.

 

When to Use

This setting matters whenever an institution wants to extend (or restrict) the pool of _Student_ statuses that are eligible for financial transactions beyond the default ‘registered’ status. It is commonly used by institutions that collect fees or deposits from _Students_ in transitional statuses, such as pending, pre-enrolled, or provisional statuses, before their enrollment is finalized.

 

Notes

Prerequisites: the custom _Student_ statuses that should appear as selectable options must already exist in the system’s status configuration before they can be chosen here.

Related settings: Allow end users to issue invoices using a different plan than the billing plan of the arrangement (Na_Epitrepetai_Ekdosi_Apy_Me_Plano_Diaforetiko_Apo_Auto_Tou_Diakanonismou in Financial Settings > General Settings > Transaction Rights & Controls > Basic Settings).

  • Related configuration: _Student_ Status (Main Settings > Parametric Lists > Student Status) – this is where the individual _Student_ status entries selectable in this setting are created and managed.

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
