Overview

This article describes the setting ‘Print the transaction date on transaction printouts’ (Setting ID: Stin_Elaxisti_Hmer_Apagoreusis_Apodikseon_Na_Mpei_Kai_H_Hmerominia_Kinisis), located under Financial Settings > General Settings > Transaction Rights & Controls > Transaction Controls.

 

What This Setting Does

This is an on/off setting that determines whether the transaction date is printed on all transaction printouts (such as receipts and invoices). When enabled, every printed transaction document will show the transaction date in addition to its other standard details.

 

Where It Is Used

This setting affects printed or exported financial transaction documents, such as payment receipts and invoices, generated from a _Student_’s account/Accounting area or other transaction issuing screens.

  • Payment receipts and invoices printed from a _Student_’s Accounting area, or exported from other transaction issuing screens, display the transaction date when this setting is enabled.

 

Business Logic / Behavior

  • When enabled, the transaction date is included on printouts of transaction documents.
  • When disabled (the default), the transaction date is not shown on these printouts.
  • This setting is grouped under Transaction Controls alongside the setting that defines a minimum date before which transactions cannot be modified, and works alongside it to make that cutoff date visible on printed documents.

 

Example(s)

Example: at Alpha Institute, a parent pays a $500 installment on April 10, but the front-desk staff member does not print and hand over the receipt until April 12, after the payment was reviewed. With this setting disabled, the printed receipt for the $500 payment shows no indication of which of the two dates it relates to. With this setting enabled, the receipt printed on April 12 explicitly shows ‘Transaction Date: April 10’, giving the parent clear proof of exactly when the $500 payment was recorded, regardless of when the document was physically printed.

 

When to Use

This setting matters whenever the institution wants transaction printouts to clearly show the date each transaction was recorded, for auditing or record-keeping purposes.

When to Enable

Enable this setting if your institution wants transaction printouts (receipts, invoices) to always display the date the transaction was recorded, for clarity, auditing, or record-keeping purposes.

When to Disable

Keep this setting disabled if your institution’s printed transaction documents do not need to show the transaction date, for example if this information is not required by local practice or is already shown elsewhere on the document.

 

Notes

Prerequisites: none beyond having transaction printing/printout templates in use.

Related settings: Allow direct issuing of unconnected credit transactions, without associated transactions (Allow_Issuing_Unconnected_Credit_Transactions_Without_Transaction_Documents in Financial Settings > General Settings > Transaction Rights & Controls > Transaction Controls); Allow users only to issue refund transactions for unconnected installments (Allow_Users_Only_To_Issue_Refund_Transactions_For_Unconnected_Installments in Financial Settings > General Settings > Transaction Rights & Controls > Transaction Controls).

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
