Overview

Location: Main Settings > General Settings > HR Management, in the Employment Contracts group.

 

What This Setting Does

This setting controls whether Classter automatically creates an official Protocol registry entry every time a new Employment Contract is created for a _Teacher_, giving the contract a traceable registry reference without any extra manual step.

 

Where It Is Used

  • Teacher > Teacher profile > Contracts tab > Add Contract, at the moment a brand new Employment Contract is saved for the first time.

 

Business Logic / Behavior

  • Enabled: as soon as a new Employment Contract is saved, Classter automatically creates a matching Protocol entry using the Protocol Category configured for Teacher Contracts.
  • Disabled: the contract is created with no automatic Protocol entry, and staff must add one manually through the Protocol module if the institution requires it.
  • The automatic Protocol entry is only created the first time a contract is saved. Later edits to the same contract do not generate additional entries.
  • If no Protocol Category is configured for Teacher Contracts, no automatic entry can be created even when this setting is enabled.

 

Examples

Alpha Institute enables this setting. When HR creates Employment Contract number C-2031 for _Teacher_ Elena P., Classter logs a Protocol entry in the Teacher Contracts category on the same day automatically.

Beta College leaves this setting disabled. When their registrar creates a new contract, no Protocol entry is generated, and a Protocol entry is only filed manually for the contracts that need one.

 

When to Use

 

When to Enable

Enable this when every Employment Contract must be logged in the Protocol registry for audit or compliance reasons, so nothing is missed.

When to Disable

Disable this when only some contracts need a Protocol entry, or when the institution prefers to review and file Protocol entries manually.

 

Notes

  • Prerequisites: at least one Protocol Category must be configured for the Teacher Contracts entity type in the Protocol module.
  • Related settings: Automated employment contract numbering Format (Automated_Employment_Contract_Numbering_Format in HR Management > Employment Contracts).
  • Related configuration: Protocol Categories (Protocol module setup).

K-12 vs Higher Education: this setting behaves the same regardless of institution type.
