Overview
Display label: Copy Employment contract allocations when a Teacher is transferred from one period to another
Setting ID: Copy_Employment_Contract_Allocations_On_Teacher_Period_Transfer
Location: Main Settings > General Settings > HR Management, in the Employment Contracts group.
What This Setting Does
When a _Teacher_ is transferred to another institute unit or academic period, this setting controls whether their Employment Contract Allocation lines (the hour and cost breakdown under their Employment Contract) are copied along automatically, or left behind so they need to be entered again in the new period.
Where It Is Used
- Teacher > Teachers list > select one or more teachers > Transfer to another institute unit action, which opens the _Teacher_ transfer screen.
The setting itself has no separate screen. It is read automatically in the background while the transfer is being processed.
Business Logic / Behavior
- Disabled (the default): after the transfer, the _Teacher_’s Employment Contract Allocation lines are not carried over to the destination company or period.
- Enabled: the _Teacher_’s existing Employment Contract Allocation lines are copied automatically into the transferred record, keeping the same hour and cost breakdown.
- This setting only affects Employment Contract Allocations. Other Employment Contract details still follow the standard transfer process.
Examples
Alpha Institute transfers _Teacher_ David C. to its second campus mid-year. With this setting enabled, his 12 weekly teaching hours and their cost allocations move with him automatically, so payroll staff do not need to rebuild that breakdown.
Beta College keeps this setting disabled. When _Teacher_ Anna W. is transferred between periods, HR receives a copy of her Employment Contract but must re-enter her hour allocations for the new period by hand.
When to Use
When to Enable
Enable this when transferred teachers should keep the same allocation breakdown in the new company or period without extra manual work, for example when a transfer is mostly administrative and the workload does not change.
When to Disable
Disable this when a transfer usually comes with a different workload or cost structure, so HR staff should review and re-enter allocations for the new period rather than carry over the old ones automatically.
Notes
- Prerequisites: the _Teacher_ being transferred must already have an Employment Contract with allocation lines.
- Related settings: Enable Employment Contract Allocation connection to (Enable_Employment_Contract_Allocation_Connection_To in HR Management > Employment Contracts).
K-12 vs Higher Education: this setting behaves the same regardless of institution type.
