Overview
The ‘Days of the month to be allowed for payment agreed dates (other than prepayment) when a new installment is added’ setting (Setting ID: Days_of_the_month_to_be_allowed_for_payment_agreed_dates_other_than_Prepayment_when_a_new_installment_is_added) is located in Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Constraints & Controls sub-group.
What This Setting Does
This setting restricts which day of the month can be chosen as the agreed payment date for any new installment added to a financial arrangement, other than the prepayment/deposit installment. You can choose to disable this restriction, force new installments to always fall on the first day of the month, force them to always fall on the last day of the month, or restrict them to a specific set of allowed day numbers (configured in a related setting).
Where It Is Used
This setting controls the Day of Payment field shown when adding installments on the arrangement creation form.
- Main Menu > Students > Students List > (open a _Student_) > Financial Data tab > New/Edit Arrangement > Arrangement Installments section – the Day of Payment field for new installments (other than the prepayment/deposit) is restricted or preset according to this setting.
- Main Menu > Financial > Arrangements List > (open an arrangement) – the same restriction applies when adding installments from this screen.
Business Logic / Behavior
- This setting offers a choice of day-of-month restriction modes for new installments (excluding the prepayment/deposit): no restriction (disabled), always the first day of the month, always the last day of the month, or only specific given day numbers.
- When set to disable, no restriction is applied and any day of the month can be chosen as the agreed payment date for a new installment.
- When set to first day of the month, new installments must have their agreed payment date set to the 1st of a month.
- When set to last day of the month, new installments must have their agreed payment date set to the final calendar day of a month.
- When set to given numbers, new installments must have their agreed payment date fall on one of the specific day numbers configured in the related ‘Given day numbers of the month allowed only’ setting.
Example(s)
Alpha Institute wants all non-deposit installments to fall on the first day of each month, to align with its accounting cycle. The finance administrator, Mr. Carter, sets this setting to ‘first day of the month’. When staff later add a new installment to Student Ms. Johnson’s arrangement and try to set its agreed payment date to March 15, Classter does not accept the 15th and instead requires the date to be set to March 1. If the setting were instead configured to ‘last day of the month’, that same installment’s date would be forced to March 31.
When to Use
Use this setting when your institution wants to standardize which days of the month installment payments are due on, making cash flow and reconciliation more predictable. Choose ‘disable’ for full flexibility, ‘first’ or ‘last day of the month’ for simple standardization, or ‘given numbers’ if you need a custom set of allowed due days, such as the 5th and 20th of each month.
Notes
- Prerequisites: this setting is enforced only when Enable arrangement constraints/Enable_Arrangement_Constrains is turned on. When set to the ‘given numbers’ option, the related Given day numbers of the month allowed only/Given_Day_Numbers_of_the_month_allowed_only setting must also be configured with the specific allowed days.
- Related settings: Given day numbers of the month allowed only (Given_Day_Numbers_of_the_month_allowed_only in Financial Settings > General Settings > Arrangements Parameters > Arrangement Constraints & Controls), Do not allow any installment with an agreed payment date before the prepayment/deposit agreed date (Do_not_allow_any_installment_with_an_agreed_payment_date_before_the_prepayment_deposit_agreed_date in Financial Settings > General Settings > Arrangements Parameters > Arrangement Constraints & Controls), Enable arrangement constraints (Enable_Arrangement_Constrains in Financial Settings > General Settings > Arrangements Parameters > Arrangement Constraints & Controls).
This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
