Overview

The Date filtering on financial overview per month setting (Setting ID: Date_Filter_In_Financial_Overview_Per_Month) is located under Financial Settings > General Settings > Financial Reports > Financial Overview per Month/Installment.

 

What This Setting Does

This setting controls which date is used to place financial amounts into a specific month when generating the financial overview per month report. It determines whether amounts are grouped by the date of the original financial arrangement (such as an agreed installment plan) or by the date the actual transaction took place, or both.

 

Where It Is Used

This setting affects how rows are grouped into months on the financial overview per month report, used by finance staff to review amounts owed and collected across different months.

  • Main Menu > Financial > Financial Overview per Month/Installment – the date grouping used by this screen’s grid follows this setting.

 

Business Logic / Behavior

  • This is a single-select (dropdown) setting with a fixed set of options; the default option is Based on Arrangement Date.
  • Based on Arrangement Date groups amounts by the date defined in the original payment arrangement or installment plan, regardless of when the transaction actually occurred.
  • Based on Transaction Date groups amounts by the date the payment, invoice, or other transaction was actually recorded.
  • The Both option shows figures from both dating methods together, for comparison, within the same report.

 

Example(s)

At Ashford College, families sometimes pay their monthly installment a few days late. For example, a family’s $500 October installment carries an agreed payment date of October 1, but the actual bank transfer is not recorded in the system until November 3. The finance manager, Ms. Whitfield, wants the financial overview to reflect the originally scheduled installment months rather than the exact days payments were received, so she sets Date filtering on financial overview per month to Based on Arrangement Date. As a result, the $500 payment still appears under the October column of the report rather than November, even though the transaction date is November 3. Had Ms. Whitfield instead chosen Based on Transaction Date, the same $500 would appear under November, and the Both option would list the $500 under both October and November for comparison.

 

When to Use

Use this setting when you need to control whether the financial overview per month report reflects planned installment schedules, actual transaction timing, or both, depending on how your institution wants to analyze cash flow versus billing schedules.

 

Notes

Prerequisites: payment arrangements or installment plans and transaction records must be properly set up for the selected date basis to produce meaningful groupings.

  • Balance field in financial overview per month/Balance_Field_In_Financial_Overview_Per_Month (Financial Settings > General Settings > Financial Reports > Financial Overview per Month/Installment)
  • Calculation of franchise fees from the date/Calculate_Franchising_Fees_From_Date (Financial Settings > General Settings > Financial Reports > Financial Overview per Month/Installment)
  • Calculation of franchise fees up to the date/Calculate_Franchising_Fees_To_Date (Financial Settings > General Settings > Financial Reports > Financial Overview per Month/Installment)

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
