Print Out Institute Address

Overview

The Print Out Institute Address setting (Setting ID: Print_Out_Institute_Address) is located under Financial Settings > General Settings > Financial Reports > Transaction Printout Settings.

 

What This Setting Does

This setting lets you choose which of your institution’s registered addresses (up to three can be defined in the institute’s profile) should be printed on financial transaction documents such as receipts and invoices. You can select one or more of these addresses to appear on the printouts.

 

Where It Is Used

This setting is consumed by the report-generation logic behind printed financial documents rather than by a specific page. It affects:

  • Main Menu > Financial > Transactions – the printed receipts and invoices produced from this screen are where the selected institute address appears.
  • Main Menu > Financial > Financial Overview per Month/Installment – printouts triggered from the financial overview grids use the same receipt and invoice templates.

 

Business Logic / Behavior

  • This is a multi-select setting, meaning more than one address level can be chosen at the same time.
  • The institution can have up to three levels of address on file, and this setting controls which one, or which combination, is shown on transaction document printouts.
  • The default selection is the first (primary) address.
  • If no address is selected, transaction printouts show no institute address line.

 

Example(s)

Riverbend College has two addresses on file: Address 1, its main campus at 120 University Avenue, Riverbend, and Address 2, its billing office at 45 Market Square, Riverbend. The finance administrator, Ms. Duarte, wants both addresses to appear on printed invoices so that students know where to send correspondence and where to send payments. She selects both Address 1 and Address 2 in the Print Out Institute Address setting, and the next invoice printed, Invoice No. 3021 dated October 15 for $1,350 in tuition fees, shows both the 120 University Avenue and 45 Market Square lines beneath the institution’s name, instead of only the single primary address it showed before.

 

When to Use

Use this setting whenever you need to control which registered institute address, or combination of addresses, appears on printed financial documents. This is relevant if your institution has multiple campuses, offices, or legal addresses on file and needs a specific one displayed for billing or legal purposes.

 

Notes

Prerequisites: the relevant address levels must first be filled in on the institute’s profile/settings before they can be selected here.

  • Display the method of payment on transaction printouts/Emfanish_Tropou_plirwmhs_sta_parastatika_eispraxhs (Financial Settings > General Settings > Financial Reports > Transaction Printout Settings)
  • Free text on receipt/Eleuthero_keimeno_apodeiksis (Financial Settings > General Settings > Financial Reports > Transaction Printout Settings)
  • Add package name to receipt description/Prosthiki_Onomasias_Paketou_Stin_Aitiologia_Tis_Apodeiksis (Financial Settings > General Settings > Financial Reports > Transaction Printout Settings)

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
