Overview
Application Types indicate what an applicant intends to do when creating an application, such as applying for the first time (“New Application”) or reapplying (“Re-Applying”). Each type carries its own rules, including:
- Which academic periods can be applied to, the maximum number of applications allowed.
- An optional maturity clause for age limits, and the intakes and grades it applies to.
- Allowing the institution to shape the application process for different applicant groups.
Since applicants must select an Application Type when applying, at least one type must be configured for the Admission module to function.
To manage Application Types, navigate to CONFIGURATION > Admission > Dropdown Lists and select Application Type from the Dropdown lists field. The page loads automatically and displays the existing types.
Create a New Application Type
Click on +Add New to create a new Application Type, e.g., βNew Applicationβ.
The Create New pop-up window opens.
Note: Fields marked with a red asterisk are mandatory.
- Description: Enter a name for the Application Type as it will appear to applicants, e.g., “Re-apply”. This field is mandatory.
- Type: Select the system type of the application from the drop-down list, e.g., “Reapply”. The type defines the underlying behavior of applications created under this Application Type.
- Valid for Application Intakes: Select the intake(s) during which this Application Type is available, e.g., “2022-23 Main Intake”. Use the select-all and clear buttons next to the field label to quickly select or remove all intakes.
- Enabled for GRADES: Select the grade(s) or program(s) this Application Type applies to, e.g., “Master in Business Administration”. Use the select-all and clear buttons to manage the selection.
- Enabled for STUDENTS with status: Select the student status(es) for which this Application Type is available. If left empty, no status restriction is applied.
- Enable Option “Apply as a mature Candidate”: Enable this switch to allow applicants to submit their application as mature candidates.
- Minimum allowed age: Enter the minimum age required to apply with this Application Type. Hover over the info icon for additional details.
- Info: Enter informational text about this Application Type using the rich text editor. This text appears underneath the selected type in the Application tab of the applicant’s portal.
- Maximum Number of allowed Application: Enter the maximum number of applications an applicant can create with this Application Type.
- The number of existing applications is found by checking for existing educational programs in the past: Enter the number of past academic periods the system will check for existing educational programs when counting an applicant’s applications.
- Also include the existing period enabled for applications: Enable this switch to include the current period in the check described above.
- Educational Program Data Validation Process: Select the validation process to apply to the applicant’s educational program data, e.g., “Do not Validate”. Hover over the info icon for additional details.

Click on Save to create the new Application Type, or Close to discard it.
Edit an Application Type
Click on the Edit (pencil) icon next to an existing type, e.g., βNew Application to Elementary Schoolβ.The Edit pop-up window contains the same fields described in the Create a New Application Type section above. Make the necessary changes and click on Save to apply them.
Additional Actions
- Reorder: Click on a column header to sort the types in ascending or descending order.
- Copy / Print / Export: Use the icons above the grid to copy, print, or export the list of Application Types to Excel or CSV. Hover over any button to see a tooltip describing its function.
- Search: Use the Search field at the top right of the grid to find a specific type.
