Overview
This setting (Automated_Enrollments_Group_Size_Limits_Management) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group.
What This Setting Does
This setting controls how the automated enrollment process behaves when a matching _Group_ has reached its maximum capacity. It can ignore capacity limits entirely, respect them and skip the _Student_ for a full _Group_, or respect them and automatically create a new _Group_ when the matching one is full.
Where It Is Used
This setting runs automatically in the background with no dedicated screen. It is evaluated every time the automated enrollment process runs, triggered when a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.
Business Logic / Behavior
- This is a single-select setting with three options. The default is Do not Check.
- Do not Check: the automated process ignores each _Group_’s maximum size and enrolls the _Student_ regardless of how many _Students_ are already in it.
- Check and Exclude them: the automated process checks the _Group_’s maximum size and excludes the _Student_ from that _Group_ if it is already full.
- Check and automatically create new Group if any existing is full: the automated process checks the _Group_’s maximum size and, if it is full, automatically creates an additional _Group_ to enroll the _Student_ into.
Example(s)
At Alpha Institute, the Grade 7 Drama _Group_ has a maximum size of 25 and already has 25 _Students_ enrolled. Administrator Noah sets this setting to Check and automatically create new Group if any existing is full. When _Student_ Layla A.’s educational program is created and Drama is matched by the automated process, Classter detects that the existing Drama _Group_ is full and automatically creates a second Drama _Group_, enrolling Layla into it. If Noah had chosen Check and Exclude them instead, Layla would simply have been left out of the Drama enrollment.
When to Use
Use Do not Check when _Group_ size limits do not need to be enforced during automated enrollment. Use Check and Exclude them when the institution wants to strictly respect maximum _Group_ sizes and prefers to leave over-capacity _Students_ unenrolled for manual handling. Use Check and automatically create new Group if any existing is full when the institution wants the system to automatically scale up capacity by creating additional _Groups_ as needed.
Notes
Prerequisite: this setting only takes effect when Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change is enabled.
- Related settings: Enroll Students to the following Groups (Automatically_Enroll_Students_To_The_Following_Groups in Student Form Registration > Automated Groups/Subjects enrollments).
- Related settings: Do not update existing Group enrollments (Automated_Enrollments_Do_Not_Update_Existing_Group_Enrollments in Student Form Registration > Automated Groups/Subjects enrollments).
K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
