Overview

Automatically Readjust the Billing Plan for billed arrangements that get reduced in value/Anaprosarmogi_Planou_APY_Gia_Diakanonismous_Me_Timologisi is a setting located under Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Modifications sub-group.

 

What This Setting Does

This setting controls whether Classter automatically adjusts the billing plan of a financial arrangement when that arrangement’s total value is reduced after some installments have already been billed. It only applies to the specific case where an existing arrangement is lowered in value and has one or more installments that have already been billed, in full or in part.

 

Where It Is Used

This setting is applied in the background during payment and billing plan recalculation, rather than through a visible field. It affects what happens when a _Student_’s arrangement value is reduced after some installments have already been billed.

  • Main Menu > Management > Students List > (open a _Student_) > Financial tab – reducing the value of an arrangement that already has billed installments triggers the automatic billing plan readjustment in the background.
  • Main Menu > Financial > Payments Overview – issuing or reviewing payments for an arrangement whose value was reduced can also trigger this recalculation.

 

Business Logic / Behavior

  • This is an on/off checkbox setting, disabled by default.
  • This setting only applies when an existing arrangement is reduced in value and has one or more installments already billed fully or partially.
  • When enabled, Classter automatically readjusts only the installments that are not yet billed, and creates a new custom billing plan for those installments to reflect the reduced total value.
  • When disabled (default), no automatic readjustment of the billing plan occurs when an arrangement’s value is reduced.
  • Already-billed installments are not modified by this process; only unbilled installments are readjusted.

 

Example(s)

Example: at Beta Institute, a _Student_’s tuition arrangement starts at $12,000 split into 10 monthly installments of $1,200 each. After a partial scholarship is approved mid-year, the arrangement’s total value is reduced from $12,000 to $9,000. By that point, 2 installments totaling $2,400 have already been billed, but the remaining 8 installments have not.

With this setting enabled, Classter automatically creates a new billing plan for the 8 unbilled installments, recalculating them to $825 each (the remaining $6,600 balance, i.e. $9,000 minus the $2,400 already billed, divided across 8 installments), without touching the 2 installments already billed at $1,200.

 

When to Use

When to Enable

Enable this setting if your institution wants Classter to automatically keep billing plans consistent with an arrangement’s updated value whenever that value is reduced after some billing has already occurred, reducing manual recalculation work for staff.

 

When to Disable

Disable this setting (the default) if you prefer staff to manually review and adjust the billing plan themselves whenever an arrangement’s value is reduced after partial billing, rather than relying on an automatic recalculation.

 

Notes

Prerequisites: Applies only to arrangements that already have a billing plan and at least one billed installment; it has no effect on arrangements with no billed installments.

  • Related setting: Forbid any arrangement modification once a related financial transaction is saved/Forbid_any_arrangement_modification_once_a_related_financial_transaction_is_saved (Financial Settings > General Settings > Arrangements Parameters > Arrangement Modifications)
  • Related setting: Enable the option “Disable Billing/invoices”/Na_Epitrepetai_H_Epilogi_Xoris_Ekdosi_APY (Financial Settings > General Settings > Arrangements Parameters > New Arrangement Settings)
  • Related setting: Enable Non Required Status For Installments/Enable_Non_Required_Status_For_Installments (Financial Settings > General Settings > Arrangements Parameters > Arrangement Installment Properties)

 

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
