Overview
Set CRM Field for Promised Amount/Collection_Management_Form_CRM_Fields_For_Promised_Amount is a setting located under Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Collectors sub-group.
What This Setting Does
This setting determines which CRM numeric field is used to store and display the “Promised Amount” on the Collection Management form, which collectors use to record the payment amount a Student or family has promised to pay. The institution can choose between two available customizable numeric CRM fields for this purpose.
Where It Is Used
This setting was found directly referenced in the Portal code. It affects the following screen:
- Main Menu > Financial > Arrangements List > Collection Data > Log Trail – the Promised Amount column only appears in this collections follow-up log when a CRM numeric field has been selected for it.
Business Logic / Behavior
- This is a single-select (dropdown) setting with two available options: Custom Numeric 1 or Custom Numeric 2.
- The option selected determines which CRM numeric field is shown and used as the “Promised Amount” on the Collection Management form.
- This allows institutions to reuse an existing CRM numeric field they have already set up for other purposes, rather than introducing a brand new dedicated field.
- This setting is tied to the CRM module, so it is relevant primarily to institutions actively using CRM-based tracking for collections.
Example(s)
At Alpha Institute, the CRM team has reserved “Custom Numeric 1” for use elsewhere, so they configure this setting to use “Custom Numeric 2” instead. A Student owes $750 across 3 overdue installments. When a collector named Grace speaks with the Student’s guardian, who promises to pay $300 of the $750 balance by the end of the month, Grace records that $300 figure in the Promised Amount field on the Collection Management form, which is stored in the Custom Numeric 2 CRM field behind the scenes, leaving $450 still unaccounted for.
When to Use
Use this setting to align the Collection Management form’s “Promised Amount” field with however the institution has already organized its CRM numeric fields. Choose whichever Custom Numeric option is not already reserved for another purpose in the institution’s CRM setup.
Notes
This setting requires the Arrangement Collectors feature to be enabled, and generally assumes the institution already has its CRM fields configured, since it selects among existing CRM numeric fields rather than creating a new one.
- Enable Arrangement Collectors feature (Enable_Arrangement_Collectors in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
- Set CRM Fields for Next Action Date (Collection_Management_Form_CRM_Fields_For_Next_Action_Date in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
- Select which Employee Categories will be available in Collectors lists (Employee_Categories_To_Be_Available_In_Collectors_List in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
- Related configuration: CRM Category Custom Fields (CRM > CRM Settings > CRM Categories > category form > Dynamic Dropdowns tab > Custom Fields) – where the Custom Numeric 1 and Custom Numeric 2 fields offered here are defined and labeled per CRM Category.
This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
