Overview

Do not allow an educational program change to REGISTERED if there is no Active financial agreement (of type Grade) is a setting located under Financial Settings > General Settings > Arrangements Parameters, in the Basic Settings sub-group.

What This Setting Does

This setting prevents a _Student_’s _Educational Program_ status from being changed to REGISTERED unless the _Student_ already has an active financial agreement (arrangement) of the relevant _Grade_ type. It acts as a safeguard to ensure that a _Student_ cannot be formally registered without a valid, active financial arrangement in place.

Where It Is Used

This setting is checked whenever a _Student_’s _Educational Program_ status is changed to REGISTERED, whether for one _Student_ at a time or in bulk.

• Main Menu > Management > Students List > (open a _Student_) > Educational Program tab – changing an individual _Educational Program_’s status to REGISTERED triggers the active-financial-agreement check.
• Main Menu > Management > Students List > (select multiple students) > Change Registration Status – the same check applies to the bulk Change Registration Status action available from the _Students_ list.

Business Logic / Behavior

• This is an on/off checkbox setting, disabled by default.
• When enabled, Classter blocks the change of an _Educational Program_ status to REGISTERED if the _Student_ does not have an active financial agreement of the applicable _Grade_ type.
• When disabled (default), the status can be changed to REGISTERED regardless of whether an active financial agreement exists.
• This enforces a business rule that financial commitment must be in place before a _Student_ is considered fully registered.

Example(s)

Example: at Beta Academy, on September 1, 2026, the registrar tries to change a _Student_’s status to REGISTERED for the new academic year, but the family has not yet signed the $8,200 annual tuition financial arrangement for that _Grade_. With this setting enabled, Classter blocks the status change and prompts the registrar to first create an active financial agreement for the _Student_ before registration can be completed, preventing the _Student_ from being counted as registered with $0 in confirmed billing.

When to Use

When to Enable

Enable this setting if your institution requires that a _Student_ always have an active, valid financial agreement before being marked as REGISTERED, to prevent registering students without confirmed billing arrangements.

When to Disable

Disable this setting (the default) if your institution allows the registration status to be updated independently of whether a financial agreement already exists, for example when financial arrangements are set up after registration.

Notes

Prerequisites: Financial arrangements (agreements) must be defined and associated with a _Grade_ type for this check to be meaningful.

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
