Overview

Select which Employee Categories will be available in Collectors lists/Employee_Categories_To_Be_Available_In_Collectors_List is a setting located under Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Collectors sub-group.

 

What This Setting Does

This setting lets the institution limit which categories of employees can be selected as a collector when assigning someone to be responsible for collecting payments on a financial Arrangement. Instead of allowing any employee to be picked, only employees belonging to the selected categories will appear in the collectors list.

 

Where It Is Used

This setting’s effect was traced to the shared employee lookup used for collector selection; it is applied in the backend and consumed by the following Portal screens:

  • Main Menu > Financial > Arrangements List – the Collector dropdown/filter and the bulk Set Collector action only list employees from the selected categories.
  • Main Menu > _Students_ > Students List > Edit Student > Financial tab – the collector selection field on the Student’s Arrangement is limited to the selected employee categories.

 

Business Logic / Behavior

  • This is a multi-select list of employee categories configured in the system.
  • If one or more categories are selected, only employees belonging to those categories will be shown in the collectors list when assigning a collector to an Arrangement.
  • If no categories are selected, all employees remain available to be chosen as collectors, without any category-based restriction.
  • This setting only has a practical effect if the Arrangement Collectors feature itself is enabled, since collector assignment is otherwise unavailable.

 

Example(s)

At Alpha Institute, the institution has 45 employees in total, but wants only the 6 staff in the “Finance” category and the 4 staff in the “Administration” category to be assignable as collectors, so that the other 35 teaching and support staff are not shown in the collectors list. They select these two categories in this setting, so when assigning a collector to a Student’s Arrangement, only those 10 employees from Finance and Administration appear as options.

 

When to Use

Use this setting when the institution wants to narrow down the pool of employees eligible to be assigned as Arrangement collectors, for example to keep collections responsibilities within specific departments such as finance or administration.

 

Notes

This setting requires the Arrangement Collectors feature to be enabled first, since it only restricts the list used when assigning collectors, a capability that depends on that feature being active.

  • Enable Arrangement Collectors feature (Enable_Arrangement_Collectors in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
  • Set CRM Fields for Next Action Date (Collection_Management_Form_CRM_Fields_For_Next_Action_Date in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
  • Set CRM Field for Promised Amount (Collection_Management_Form_CRM_Fields_For_Promised_Amount in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
  • Related configuration: Other Contact Category (Employees) (Main Menu > Parametric Lists > Other Contact Category, filtered by Type = Employees) – where Employee Category codes offered in this multi-select are created and managed.

 

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
