Overview
Enable Arrangement Collectors feature/Enable_Arrangement_Collectors is a setting located under Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Collectors sub-group.
What This Setting Does
This setting turns on the Arrangement Collectors feature, which lets the institution assign a responsible employee (a “collector”) to each financial Arrangement. That employee becomes accountable for following up on and collecting any payments that are due for that Arrangement.
Where It Is Used
This setting was found directly referenced in the Portal code. It affects the following screens:
- Main Menu > Financial > Arrangements List – shows the Collector column and the bulk actions to set a collector, change collection status, or add a collection comment, and only when enabled.
- Main Menu > Financial > Arrangements List > Collection Data – this dedicated collections screen (opened from an Arrangement row) is only reachable when this setting is enabled.
- Main Menu > _Students_ > Students List > Edit Student > Financial tab – the collector assignment field on the Student’s Arrangement is shown here once enabled.
Business Logic / Behavior
- When enabled, each financial Arrangement can have a designated employee configured as its collector, responsible for collecting any due payments.
- When disabled, no collector can be assigned to Arrangements, and any related collections management functionality tied to this feature is unavailable.
- This is the master switch for the entire Arrangement Collectors feature; other settings in the same sub-group (such as which employee categories are eligible, or CRM field mappings) only take effect once this is enabled, based on their shared sub-group grouping.
Example(s)
At Alpha Institute, the finance department enables this setting to formalize collections responsibility. For an Arrangement with an overdue balance of $850 across 2 unpaid installments, a specific staff member, an employee named Karen R., is assigned as the collector, making Karen responsible for reaching out to the Student’s family regarding the $850 outstanding payment until it is settled.
When to Use
This setting matters for institutions that want a structured way to assign accountability for collecting overdue Arrangement payments.
When to Enable
Enable this when the institution wants to designate specific staff members as responsible collectors for financial Arrangements, enabling clearer accountability and follow-up processes for overdue payments.
When to Disable
Disable this if the institution does not use a formal collector-assignment process and instead manages collections in another way outside of this feature.
Notes
This is a prerequisite setting: the other settings in the Arrangement Collectors sub-group (employee categories available for the collectors list, and the CRM fields used for next action date and promised amount) are only meaningful once this setting is enabled.
- Select which Employee Categories will be available in Collectors lists (Employee_Categories_To_Be_Available_In_Collectors_List in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
- Set CRM Fields for Next Action Date (Collection_Management_Form_CRM_Fields_For_Next_Action_Date in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
- Set CRM Field for Promised Amount (Collection_Management_Form_CRM_Fields_For_Promised_Amount in Financial Settings > General Settings > Arrangements Parameters > Arrangement Collectors)
This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
