Overview

The ‘Collection Status automatically set when all due date payments are settled’ setting (Setting ID: Set_Collection_Status_On_Due_Payments) is located in Financial Settings > General Settings > Arrangements Parameters, in the Arrangement Collectors sub-group.

 

What This Setting Does

This setting lets you choose a Collection Status that Classter will automatically apply to a financial arrangement once all of its due installments have been fully paid. A Collection Status is a label used to track the payment/collection state of an arrangement (for example, statuses such as ‘Under Collection’, ‘Settled’, or similar labels defined by your institution). Instead of a staff member manually updating this status every time a student finishes paying off their due installments, Classter can set it automatically.

 

Where It Is Used

This setting is applied automatically in the background rather than through a visible form field. It affects the following areas:

  • Main Menu > Students > Students List > (open a _Student_) > Financial Data tab – the Collection Status shown on a _Student_’s financial arrangement updates automatically here once all due installments are settled.
  • Main Menu > Financial > Arrangements List – the Collection Status column/filter on this list reflects the automatic status change once it has been applied.

 

Business Logic / Behavior

  • This setting lets an administrator select a specific Collection Status value from the list of Collection Statuses configured for the institution.
  • When all payments that are currently due on an arrangement have been settled (paid in full by their due/agreed date), Classter automatically assigns the selected Collection Status to that arrangement.
  • This reduces manual administrative work in tracking which arrangements are fully up to date versus which still have outstanding due payments.
  • If no Collection Status is selected, no automatic status change occurs and staff need to update Collection Status manually.

 

Example(s)

Alpha Institute configures this setting to automatically set the Collection Status to ‘Up to Date’ whenever a _Student_ has paid all currently due installments. Student Ms. Johnson has a $4,500 annual arrangement split into 3 installments of $1,500 each, due September 1, December 1, and March 1. After she pays the December 1 installment on time, and with the March 1 installment not yet due, no installment on her arrangement is currently overdue, so Classter automatically updates her Collection Status from ‘Under Collection’ to ‘Up to Date’ without any staff member needing to open the record and change it by hand. If she later misses the March 1 payment, the status is not reverted by this setting, since it only fires when due installments become settled, not when they later fall overdue.

 

When to Use

Use this setting when your institution relies on Collection Status values to monitor which _Students_ are current with their payments and which are behind. Selecting a status here keeps that tracking accurate and up to date automatically, which is especially useful for institutions managing a large volume of arrangements where manual status updates would be time-consuming and error-prone.

 

Notes

  • Prerequisites: This setting depends on Collection Statuses being configured in the system; a status must exist and be selectable before it can be assigned automatically.
  • Related settings: Enable arrangement constraints (Enable_Arrangement_Constrains in Financial Settings > General Settings > Arrangements Parameters > Arrangement Constraints & Controls); Financial Arrangements for Book Charges: Do not include books already added in previous academic periods (FinancialArrangementsForBookChargesDoNotIncludeBooksAlreadyAddedInPreviousAcademicPeriods in Financial Settings > General Settings > Arrangements Parameters > Special Settings).
  • Related configuration: Collection Case Status (Financial Settings > Dropdown Lists > Collection Case Status) – create and manage the Collection Status values that appear in this setting’s dropdown.

 

This setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
