Automated Enrollments Do Not Update Existing Group Enrollments

Overview

This setting (Automated_Enrollments_Do_Not_Update_Existing_Group_Enrollments) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group.

 

What This Setting Does

This setting decides what the automated enrollment process should do when a _Student_ already has an existing _Group_ enrollment at the time their educational program is created or changed. It can either leave that existing enrollment untouched, or let the automated process re-evaluate and update it based on the current filter settings.

 

Where It Is Used

This setting runs automatically in the background with no dedicated screen. It is evaluated every time the automated enrollment process runs, triggered when a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.

 

Business Logic / Behavior

  • This is an on/off checkbox setting. The default value is enabled (True).
  • When enabled (the default), the automated process skips any _Group_ the _Student_ is already enrolled in, leaving that enrollment exactly as it is, and only creates new enrollments where none already exist.
  • When disabled, the automated process re-evaluates existing _Group_ enrollments as well, and may change or replace them based on the current filter settings.
  • This setting only has an effect when the master switch, Enable the automated enrollment of Students to Groups/Subjects upon education program creation or change, is enabled.

 

Example(s)

At Alpha Institute, _Student_ Isla F. is already manually enrolled in the Advanced Robotics _Group_. Administrator Tomas leaves this setting enabled (the default) and changes Isla’s educational program details in October 2026. Because the setting is enabled, Classter leaves her existing Advanced Robotics enrollment untouched and only adds any additional _Group_ enrollments that are missing. If Tomas had disabled this setting, the automated process could have re-evaluated and potentially altered her existing Advanced Robotics enrollment as part of the same run.

 

When to Use

 

When to Enable

Enable this setting (the default) when the institution wants to protect existing, possibly manually adjusted, _Group_ enrollments from being altered every time the automated process runs.

When to Disable

Disable this setting when the institution wants the automated process to fully keep every _Student_’s _Group_ enrollments in sync with the current filter settings, even if that means changing enrollments that already exist.

 

Notes

Prerequisite: this setting only takes effect when Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change is enabled.

  • Related settings: Enroll Students to the following Groups (Automatically_Enroll_Students_To_The_Following_Groups in Student Form Registration > Automated Groups/Subjects enrollments).
  • Related settings: Group size limits Management (Automated_Enrollments_Group_Size_Limits_Management in Student Form Registration > Automated Groups/Subjects enrollments).

K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
