Automated Enrollments Include Only Groups Of The Following

Overview

This setting (Automated_Enrollments_Include_Only_Groups_Of_The_Following) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group.

 

What This Setting Does

This setting decides how closely a _Group_ must match a _Student_’s educational program in order to be considered by the automated enrollment process. It can require the _Group_ to share the same _Grade_ and Stream as the _Student_, only the same _Grade_, or the same _Grade_, Stream, and educational program Category.

 

Where It Is Used

This setting runs automatically in the background with no dedicated screen. It is evaluated every time the automated enrollment process runs, triggered when a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.

 

Business Logic / Behavior

  • This is a single-select setting with three options. The default is Grade and Stream.
  • Grade and Stream: only _Groups_ that match both the _Grade_ and the Stream of the _Student_’s educational program are considered.
  • Grade: only _Groups_ that match the _Grade_ of the _Student_’s educational program are considered, regardless of Stream.
  • Grade and Stream and educational program Category: only _Groups_ that match the _Grade_, the Stream, and the educational program Category of the _Student_’s educational program are considered, the most restrictive option.

 

Example(s)

At Alpha Institute, administrator Leo sets this setting to Grade. Student Ahmed F.’s educational program is Grade 11, Science Stream. A Grade 11 History _Group_ exists that is only associated with the Humanities Stream. Because the setting is set to Grade only, Classter still considers this History _Group_ a match for Ahmed and may enroll him into it, since only the _Grade_ needs to match. If Leo had chosen Grade and Stream instead, that same History _Group_ would have been excluded, since its Stream does not match Ahmed’s Science Stream.

 

When to Use

Use Grade and Stream (the default) when _Groups_ should closely mirror the _Student_’s educational program structure. Use Grade when Stream should not be a limiting factor, for example when some _Groups_ are shared across Streams within the same _Grade_. Use Grade and Stream and educational program Category when the institution needs the strictest possible match, for example when different educational program Categories within the same _Grade_ and Stream must never share automated _Group_ matches.

 

Notes

Prerequisite: this setting only takes effect when Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change is enabled.

  • Related settings: Enable only for Streams where the Stream has enabled setting for Mandatory Subjects (Automated_Enrollments_Enable_Only_For_Streams_With_Mandatory_Subjects in Student Form Registration > Automated Groups/Subjects enrollments).
  • Related settings: Enroll Students to the following Groups (Automatically_Enroll_Students_To_The_Following_Groups in Student Form Registration > Automated Groups/Subjects enrollments).

K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
