Overview
This setting (Automatically_Enroll_Students_To_The_Following_Groups) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group.
What This Setting Does
Once the automated enrollment process has identified all the _Groups_ that match a _Student_’s educational program based on the other filter settings in this group, this setting decides exactly which of those matching _Groups_ the _Student_ is actually enrolled into: all of them, or only a single representative _Group_.
Where It Is Used
This setting runs automatically in the background with no dedicated screen. It is evaluated every time the automated enrollment process runs, triggered when a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.
Business Logic / Behavior
- This is a single-select setting with four options. The default is All Groups found.
- All Groups found: the _Student_ is enrolled into every _Group_ that matches the configured filters.
- Only to the first Group found: the _Student_ is enrolled only into the first matching _Group_.
- Only to the first main Group found: the _Student_ is enrolled only into the first matching _Group_ that is marked as a main _Group_.
- Only the first Main Group per Timetable Category: the _Student_ is enrolled into the first matching main _Group_ within each Timetable Category, allowing one enrollment per category instead of one overall.
Example(s)
At Alpha Institute, three Grade 8 English _Groups_ match the automated enrollment filters for _Student_ Owen C.: Section A, Section B, and Section C. Administrator Fatima sets this setting to Only to the first Group found. When Owen’s educational program is created, Classter enrolls him only into Section A, the first matching _Group_, and does not enroll him into Section B or Section C. If Fatima had left the setting on All Groups found, Owen would have been enrolled into all three _Groups_.
When to Use
Use All Groups found when a _Student_ genuinely needs to be enrolled into every matching _Group_. Use Only to the first Group found or Only to the first main Group found when only a single representative enrollment is wanted, for example to avoid duplicate placements across similar _Groups_. Use Only the first Main Group per Timetable Category when the institution organizes _Groups_ by Timetable Category and wants one automatic enrollment per category.
Notes
Prerequisite: this setting only takes effect when Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change is enabled.
- Related settings: Do not update existing Group enrollments (Automated_Enrollments_Do_Not_Update_Existing_Group_Enrollments in Student Form Registration > Automated Groups/Subjects enrollments).
- Related settings: Group size limits Management (Automated_Enrollments_Group_Size_Limits_Management in Student Form Registration > Automated Groups/Subjects enrollments).
K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
