Enable Automated Enrollment Of Students To Groups Subjects On Education Program Change

Overview

This setting (Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group. It is the master on/off switch for the whole automated enrollment process described by the other settings in this group.

 

What This Setting Does

This setting turns on an automated process that enrolls a _Student_ into _Groups_ and _Subjects_ whenever their educational program is created or changed. Instead of staff manually enrolling the _Student_ into the right _Groups_ and _Subjects_ every time, Classter evaluates the _Student_’s new educational program and automatically creates the matching _Group_ and _Subject_ enrollments, based on all the filter and behavior settings configured elsewhere in this same group.

 

Where It Is Used

This setting runs automatically in the background with no dedicated screen. It is triggered every time a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.

 

Business Logic / Behavior

  • This is an on/off checkbox setting. The default value is disabled (False).
  • When enabled, creating or changing a _Student_’s educational program automatically triggers the enrollment of that _Student_ into matching _Groups_ and _Subjects_.
  • When disabled (the default), no automated enrollment takes place; staff must enroll the _Student_ into _Groups_ and _Subjects_ manually.
  • All of the other settings in the Automated Groups/Subjects enrollments group (which educational program statuses, Grade Types, Group Types, Group Categories, Zones, and so on are eligible) only take effect once this master setting is enabled.

 

Example(s)

At Alpha Institute, administrator Ben enables this setting along with several of the filter settings in this group. When _Student_ Zoe H. is registered into the Grade 10 Science Stream educational program in August 2026, Classter automatically enrolls her into the Grade 10 Biology, Chemistry, and Physics _Groups_, and into their connected _Subjects_, without any staff member manually adding those enrollments. Before this setting was enabled, staff had to enroll Zoe into each _Group_ and _Subject_ one by one.

 

When to Use

 

When to Enable

Enable this setting when the institution wants _Group_ and _Subject_ enrollments to happen automatically whenever a _Student_’s educational program is created or changed, reducing manual enrollment work and the risk of a _Student_ being left out of a required _Group_ or _Subject_.

When to Disable

Disable this setting (the default) if the institution prefers to review and perform every _Group_ and _Subject_ enrollment manually, or if the automated matching rules do not fit the institution’s enrollment process.

 

Notes

Prerequisite: none. This is the master switch; all other settings in the Automated Groups/Subjects enrollments group depend on this one being enabled.

  • Related settings: Enroll Students to the following Groups (Automatically_Enroll_Students_To_The_Following_Groups in Student Form Registration > Automated Groups/Subjects enrollments).
  • Related settings: Enroll Students to Subjects of each Group (Automatically_Enroll_Students_To_Subjects_Of_Each_Group in Student Form Registration > Automated Groups/Subjects enrollments).
  • Related settings: Educational program status enabled for automated enrollment of Groups/Subjects (Educational_Program_Status_Enabled_For_Automated_Enrollment_Of_Group_Subjects in Student Form Registration > Automated Groups/Subjects enrollments).

K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
