What This Setting Does
This setting adds extra fields alongside the Drop Off Indicator on the educational program section. When any of the available options are activated, the matching field is also enabled at the educational program level for every educational program that has a value set in the Drop Off Indicator field.
Where It Is Used
Main Menu > Students > Students List > Create (or Edit) > Educational Program section, fields shown alongside the Drop Off Indicator.
Business Logic / Behavior
- Effect Date: when activated, an Effect Date field is shown alongside the Drop Off Indicator, letting staff record the date the drop off takes effect.
- Reason: when activated, a Reason field is shown alongside the Drop Off Indicator, letting staff enter free-text detail about the drop off.
- Both options can be activated together, showing both additional fields on the educational program record.
- These additional fields only appear on educational programs that already have a value set in the Drop Off Indicator field; educational programs without a Drop Off Indicator value do not show them.
- If neither option is activated, only the Drop Off Indicator field itself is shown, with no additional fields.
Example(s)
Alpha Institute activates both Effect Date and Reason. When registrar Peter D. sets the Drop Off Indicator to Financial Difficulty on _Student_ Anna K.’s educational program, two extra fields appear: Effect Date, which Peter sets to 1 November 2026, and Reason, where he types Family relocated and requested a delayed withdrawal effective next month.
When to Use
Activate Effect Date when the institution needs to record a specific date on which the drop off becomes effective, separate from the date it was entered in the system. Activate Reason when staff need to capture free-text context in addition to the selected Drop Off Indicator value.
Notes
Prerequisite: Enable Drop Off Indicator must be enabled, and a Drop Off Indicator value must be set on the educational program, for these additional fields to appear.
