Enable Timetable Conflict Validations In Subject Enrollments

Overview

This setting (Enable_Timetable_Conflict_Validations_In_Subject_Enrollments) is located in Main Settings > General Settings > Student Form Registration, under the Subject Enrollments group.

 

What This Setting Does

This setting adds a timetable overlap check whenever a _Student_ is enrolled into a _Subject_. When enabled, _Students_ are not allowed to complete a _Subject_ enrollment that would create a timetable conflict during online admissions, re-registrations, or curriculum-based enrollments. Administrative staff performing enrollments manually are not blocked, but they are shown a warning message whenever a timetable conflict is detected. The check only applies to _Subjects_ that are assigned to a _Group_.

 

Where It Is Used

Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Subjects/Course Enrollments tab. This validation is also applied during the self-service online Admission enrollment steps, Online Registration, and Student Re-Registration processes used by candidates, _Students_, and parents when they make curriculum-based Subject enrollments.

 

Business Logic / Behavior

  • This is an on/off checkbox setting. The default value is disabled (False).
  • When enabled, a _Student_ using online admission, re-registration, or curriculum-based enrollment cannot complete an enrollment that overlaps in the timetable with another of their existing _Subject_ enrollments.
  • When administrative staff make the enrollment on the _Student_’s behalf, a warning message is shown instead of a hard block, allowing the enrollment to proceed if the staff member confirms it.
  • The validation only applies to _Subjects_ that are assigned to a _Group_; standalone _Subjects_ with no _Group_ timetable connection are not checked.
  • When disabled (the default), no timetable overlap check is performed during Subject enrollment.

 

Example(s)

At Alpha Institute, administrator Paul enables this setting. Student Amelia R. is already enrolled in a Chemistry _Group_ that meets Tuesdays 09:00-10:30. During online re-registration in June 2026, Amelia tries to enroll into a Physics _Group_ that also meets Tuesdays 09:00-10:30. Classter blocks the enrollment and shows Amelia a timetable conflict message, so she must choose a different Physics _Group_ session. When staff member Paul later performs the same enrollment on Amelia’s behalf from the back office, he sees the same conflict as a warning but can still confirm and save it if needed.

 

When to Use

 

When to Enable

Enable this setting when the institution wants to prevent _Students_ from creating their own overlapping timetable enrollments during online admission, re-registration, or curriculum-based enrollment, while still allowing staff the flexibility to override a conflict when necessary.

When to Disable

Disable this setting (the default) if the institution does not need automatic timetable conflict checking during Subject enrollment, or if timetable conflicts are reviewed manually through other means.

 

Notes

Prerequisite: none. Applies only to _Subjects_ that are assigned to a _Group_ with a timetable connection.

  • Related settings: In the Subject enrollments Classter will show (Groups_Will_Show_In_The_Subject_Enrollments in Student Form Registration > Group Enrollments).

K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
