Setting label: Include in the returned Educational program values both short and full description for the following type of users

Setting ID: Include_Educational_Program_Values_Both_Short_And_Full_Description_For_The_Following_Types

Location: Main Settings > General Settings > Student Form Registration tab, Educational Program Parameters group

 

What This Setting Does

This setting decides whether users see only the short description, or both the short and full description, of educational program values such as _Group_, Stream, or Indicator, and it lets the institution apply that behavior selectively to certain types of users.

 

Where It Is Used

Main Menu > Students > Students List > Create (or Edit) > Educational Program section, drop down fields displaying educational program values.

 

Business Logic / Behavior

  • None: only the short description of educational program values is shown to users, regardless of user type.
  • Back-Office Users: administrative and staff users see both the short and full description of educational program values, while other user types continue to see only the short description.
  • All Users: every user type, including back-office staff and any other portal users, sees both the short and full description of educational program values.

 

Example(s)

Alpha Institute sets this option to Back-Office Users. Registrar Helen A., a back-office user, opens the Group drop down on the educational program section and sees the entry displayed as GRP-7A – Grade 7 Section A, combining the short code with the full description. A parent viewing the same _Student_’s record from their own portal view only sees GRP-7A, the short description.

 

When to Use

Use Back-Office Users or All Users when staff or other users need the extra context of the full description to correctly identify educational program values, especially when short codes alone are not descriptive enough. Use None when short codes are already clear and a shorter display is preferred to reduce clutter.

 

Notes

K-12 vs Higher Education: This setting behaves the same regardless of whether Enable Configuration for Higher Education is on or off.
