Timetable Categories Enabled For Automated Enrollment Of Group Subjects

Overview

This setting (Timetable_Categories_Enabled_For_Automated_Enrollment_Of_Group_Subjects) is located in Main Settings > General Settings > Student Form Registration, under the Automated Groups/Subjects enrollments group.

 

What This Setting Does

This setting limits the automated _Group_/_Subject_ enrollment process to _Groups_ connected to the selected Timetable Categories. If a _Group_ has a timetable connection to a category other than the ones selected here, it is excluded from the automated matching.

 

Where It Is Used

This setting runs automatically in the background with no dedicated screen. It is evaluated every time the automated enrollment process runs, triggered when a _Student_’s educational program is created or changed on Main Menu > Management > Students > Students List > [click a _Student_] > Edit form > Educational Program / School Registrations tab.

 

Business Logic / Behavior

  • This is a multi-select setting; the list of Timetable Categories is configured elsewhere and selected here.
  • When one or more Timetable Categories are selected, any _Group_ having a timetable connection to a category other than the selected ones is excluded from the automated enrollment process.
  • If the list is left empty, no Timetable Category filtering is applied and the automated process is not restricted by this criterion.
  • This setting only has an effect when the master switch, Enable the automated enrollment of Students to Groups/Subjects upon education program creation or change, is enabled.

 

Example(s)

At Alpha Institute, the Morning Session and Afternoon Session Timetable Categories exist. Administrator Marcus selects only Morning Session in this setting. When _Student_ Ella N.’s educational program is created, the automated enrollment process only considers _Groups_ connected to the Morning Session category, such as the Morning English _Group_, and excludes _Groups_ connected to the Afternoon Session category, such as the Afternoon English _Group_, even though both otherwise match her _Grade_ and Stream.

 

When to Use

Use this setting when the institution runs multiple timetable schedules, such as morning and afternoon sessions, and automated enrollment should only place _Students_ into _Groups_ belonging to specific sessions. Leave the list empty if the automated process should consider _Groups_ from every Timetable Category.

 

Notes

Prerequisite: this setting only takes effect when Enable_Automated_Enrollment_Of_Students_To_Groups_Subjects_On_Education_Program_Change is enabled.

  • Related settings: Include only Groups having a section connected with the following specific Zones (Automated_Enrollments_Include_Only_Groups_Having_A_Section_Connected_To_The_Following_Specific_Zones in Student Form Registration > Automated Groups/Subjects enrollments).
  • Related settings: Include only Groups of the following types (Group_Types_Enabled_For_Automated_Enrollment_Of_Group_Subjects in Student Form Registration > Automated Groups/Subjects enrollments).

Related configuration: Timetable Categories (Academic Settings > Timetable > Timetable Categories) – manages the list of Timetable Categories offered in this multi-select, used to restrict automated _Group_/_Subject_ enrollment to _Groups_ connected to the selected categories.

K-12 vs Higher Education: this setting behaves the same regardless of whether Higher Education Mode (Enable Configuration for Higher Education/Xrisi_parametropoihshs_kolegiou) is enabled or disabled.
