Overview
Setting: Dynamic Templates per Educational Program
Setting ID: Dynamic_Templates_Per_Educational_Program
Location: Main Settings > General Settings > Messaging & Notifications tab, Basic Settings group
What This Setting Does
This is an on/off switch that allows the institution to use a different notification email template depending on the combination of _Grade_, Stream, and Educational Program Category (and _Status_) of the recipient, instead of always using one single default template.
Where It Is Used
Template Management screen. When this setting is enabled, template selectors in Template Management gain an extra option to use the template configured per educational program combination, instead of a single fixed template. It also affects the Notification Service Configuration screen for certain notification types, where an additional per-record template option becomes available for _Student_, Parent, and Employee recipients.
Business Logic / Behavior
- When enabled, template selection screens offer an extra choice: use the template configured per educational program combination instead of the default template.
- The template actually used for a given notification is determined by matching the recipient’s _Grade_, Stream, Educational Program Category, and _Status_ against the templates configured in Template Management.
- If no specific template is configured for a recipient’s exact combination, the default template continues to be used for that notification.
- When disabled, all recipients of a given notification type always receive the same default template, regardless of their _Grade_, Stream, or Educational Program Category.
Example(s)
Alpha Institute sends admission acceptance letters to applicants in both its Middle School program and its International Baccalaureate program. With this setting enabled, they configure one acceptance letter template for Middle School and a different one, with IB-specific wording, for the International Baccalaureate program.
Before enabling: every applicant, regardless of program, receives the exact same acceptance letter text.
After enabling and configuring both templates: an applicant admitted to Middle School receives the Middle School wording, while an applicant admitted to the International Baccalaureate program automatically receives the IB wording, without staff needing to send the letters manually per program.
When to Use
When to Enable
Enable this when the institution runs multiple distinct educational programs, streams, or grade bands that each need their own wording for notifications such as acceptance letters, rejection letters, or status change notices.
When to Disable
Disable this when a single template per notification type is sufficient for the whole institution, to keep template management simple.
Notes
Prerequisites: enabling this setting alone does not change any notification wording; the institution must also go to Template Management to configure the specific templates per educational program combination.

K-12 vs Higher Education: This setting behaves the same regardless of the type of institution; it is more useful to institutions that operate several distinct educational programs or streams.
