Setting: Additional Properties in name format

Setting ID: File_Name_Format_Additional_Properties

Location: Main Settings > General Settings > Messaging & Notifications tab, Bulk Reporting Notification group

 

What This Setting Does

This setting controls which extra pieces of information are added to the file name of documents generated in bulk for _Students_ (for example, bulk-printed reports or certificates). The file name always includes the _Student_’s name and their system code; here you choose whether to also add their Basic _Group_, the generation date, their _Location_, the main _Period_, and/or the company name.

 

Where It Is Used

This setting runs automatically in the background whenever the institution generates documents in bulk for _Students_ (for example, through the Bulk Services area). There is no separate screen to preview file names; the setting simply shapes the file name of each generated document.

 

Business Logic / Behavior

  • The file name always starts with the _Student_’s last name, first name, and _Student_ code.
  • If Basic _Group_ is selected, the _Student_’s basic _Group_ name is appended to the file name.
  • If Date is selected, the current date is appended to the file name.
  • If _Location_ is selected, the _Student_’s _Location_ is appended to the file name.
  • If Main _Period_ is selected, the main _Period_ information is appended to the file name.
  • If Company Name is selected, the company name is appended to the file name.
  • You can select more than one of these properties at the same time; each selected property is added to the file name in sequence.
  • Any special characters in the appended values are stripped out so the resulting file name stays valid.

 

Example(s)

Alpha Institute bulk-generates report cards for all _Students_ in Grade 9 and wants each file to be easy to sort by _Group_ and by date.

They select Basic _Group_ and Date in this setting. For a _Student_ named Sophia R., code 10234, in _Group_ 9A, generated on 3/15/2026, the resulting file name is Reyes_Sophia_10234_9A_03152026.

If they had left both options unselected, the same file would simply be named Reyes_Sophia_10234.

 

When to Use

Use this setting to make bulk-generated _Student_ documents easier to identify, sort, or archive by adding useful identifying details directly into the file name, based on what staff typically need when handling large batches of files.
