Overview
Display label: Allow back offices users to transfer to any Grade
Setting ID: Allow_Back_Offices_To_Transfer_To_Any_Grade
Location: Main Settings > General Settings > Period To Period Transfers, Transfers by Employees group
What This Setting Does
This setting controls whether back office users (such as Admin, Owner, or Secretary roles) can transfer a Student to any _Grade_ in the target academic period, or whether they are restricted to the _Grades_ that normally follow from the Student’s current _Grade_.
Where It Is Used
Students > select Student(s) > Transfers > Transfer from period (or Transfer to another institute unit). This is the same wizard used by back office staff to move Students between academic periods or institute units. This setting controls the _Grade_ selection offered in that wizard.
Business Logic / Behavior
- When enabled, back office users performing a Student transfer can pick any _Grade_ defined for the target academic period, regardless of the Student’s current _Grade_.
- When disabled, back office users can only select _Grades_ that follow the normal progression path from the Student’s current _Grade_.
- This restriction applies specifically to transfers performed by back office employees, not to a Student’s or parent’s Online Re-registration.
- Default value is disabled (False).
Example(s)
Alpha Institute has _Grades_ ordered from _Grade_ 1 through _Grade_ 6. Student Eleni R. is currently in _Grade_ 3. With this setting disabled, a Secretary transferring Eleni to the next academic period can only select _Grade_ 4, following the normal progression. With this setting enabled, the same Secretary can instead select any _Grade_, for example moving Eleni directly to _Grade_ 5 due to an approved grade-skip decision.
When to Use
When to Enable
Enable this setting when the institution needs back office staff to have full flexibility to place transferred Students into any _Grade_, for example to support grade-skipping, _Grade_ repetition to a non-adjacent _Grade_, or special placement decisions.
When to Disable
Disable this setting to keep back office transfers restricted to the standard _Grade_ progression, reducing the risk of Students being placed in the wrong _Grade_ by mistake.
Notes
Prerequisites: _Grades_ and their progression order must be configured for the target academic period.
- Related settings: Do not allow back office users to transfer Students not having at least one active arrangement. (Do_Not_Allow_Back_Office_Users_To_Transfer_Students_Not_Having_At_Least_One_Active_Arrangement in Period To Period Transfers > Transfers by Employees)
K-12 vs Higher Education: This setting behaves the same regardless of whether the institution is a K-12 school or a Higher Education institution.
