What This Setting Does

This setting blocks back office users from transferring a Student to a new academic period unless that Student has at least one active financial arrangement in place. It is used to prevent Students without a confirmed financial arrangement from being moved forward into the next period by mistake.

 

Where It Is Used

Students > select Student(s) > Transfers > Transfer from period (or Transfer to another school unit). When enabled, this rule is enforced at the moment a back office user attempts to run the transfer for the selected Students.

 

Business Logic / Behavior

  • When enabled, a back office user cannot complete a transfer for a Student who does not have at least one active financial arrangement.
  • When disabled, back office users can transfer Students regardless of whether they have an active arrangement.
  • This restriction applies specifically to transfers performed by back office employees, not to a Student’s or parent’s Online Re-registration.
  • Default value is disabled (False).

 

Example(s)

Alpha Institute enables this setting. Student Thanos G. has no active financial arrangement on file. When a Secretary tries to transfer Thanos to the next academic period, the transfer is blocked until an active arrangement is created for him. Student Anna P., who does have an active arrangement, transfers normally without any restriction.

 

When to Use

When to Enable

Enable this setting when the institution wants to make sure Students are not moved into the next academic period unless a financial arrangement is already confirmed, helping avoid unbilled or unaccounted-for enrollments.

 

When to Disable

Disable this setting when the institution wants back office staff to freely transfer Students between periods regardless of whether a financial arrangement exists yet, for example when arrangements are set up after enrollment is finalized.

 

Notes

Prerequisites: Financial arrangements must be tracked in the system for this restriction to be meaningful.

  • Related settings: If an active Financial Agreement is found, then automatically set target educational program status to (If_An_Active_Financial_Agreement_Is_Found_Then_Automatically_Set_Target_Educational_Program_Status_To in Period To Period Transfers > Transfers by Employees)
  • Related settings: If no active Financial Agreement is found, then automatically set target educational program status to (If_No_Active_Financial_Agreement_Is_Found_Then_Automatically_Set_Target_Educational_Program_Status_To in Period To Period Transfers > Transfers by Employees)
  • Related settings: Allow back offices users to transfer to any Grade (Allow_Back_Offices_To_Transfer_To_Any_Grade in Period To Period Transfers > Transfers by Employees)

 

K-12 vs Higher Education: This setting behaves the same regardless of whether the institution is a K-12 school or a Higher Education institution.
