Setting ID: Default_Change_Reason_For_Activity_Changes

Location: Main Settings > General Settings > Services Parameters tab, Basic Settings group.

 

What This Setting Does

This setting lets an institution pick a default change reason that Classter records whenever a Service enrollment is automatically stopped or changed by the system, instead of by a manual change reason chosen by a staff member. The change reason is selected from the same list of reasons used to explain changes to Service enrollments.

 

Where It Is Used

This setting has no dedicated screen of its own; it runs automatically in the background. It is applied whenever Classter automatically enrolls, stops, or changes a Student’s Services as a result of another action, such as a change to the Student’s educational program registration or a change to a Subject enrollment. The change reasons themselves are maintained as a parametric list of Activity/Service change reasons, which can be managed from the related reasons list screen.

 

Business Logic / Behavior

  • The value is selected from the list of change reasons defined for Service/Activity changes.
  • When Classter automatically stops or changes a Student’s Service enrollment (for example, because of an educational program status change or a Subject enrollment change), the reason selected here is recorded as the change reason for that automatic action.
  • If no default reason is selected, automatic Service enrollment changes are recorded without a change reason.
  • This setting does not affect change reasons entered manually by staff when they stop or change a Service enrollment themselves; it only supplies the reason for changes triggered automatically by Classter.

 

Example(s)

Alpha Institute sets the default change reason to “Automatic system update”. Student Sofia A.’s educational program status changes from Registered to Graduated. Classter automatically stops her School Bus service enrollment as part of the status change, and records “Automatic system update” as the change reason on that stopped enrollment, so staff reviewing the enrollment history can see it was not a manual cancellation.

 

When to Use

Set this value when the institution wants a consistent, identifiable reason recorded on Service enrollment changes that Classter performs automatically, making it easier to distinguish system-driven changes from manual ones when reviewing enrollment history or reports.

 

Notes

Prerequisites: at least one change reason must exist in the Activity/Service change reasons list before it can be selected here.

  • Related settings: Educational program’s registration Statuses that enable the automatic enrollment of services (Status_For_Automatic_Service_Enrollment in Services Parameters > Basic Settings)
  • Related settings: Subject enrollment statuses that trigger automatic service enrollment (Subject_Enrollment_Status_For_Automatic_Service_Enrollment in Services Parameters > Basic Settings)

 

K-12 vs Higher Education: This setting behaves the same regardless of whether the institution is configured for K-12 or Higher Education.

  • Related configuration: Change/Activity Reasons (Main Settings > Dropdown Lists > Students > Reasons) – manages the list of reasons available in this dropdown, used to record the default reason for automatic Service enrollment changes.
