What This Setting Does
This setting controls whether Classter should skip automatically re-enrolling a _Student_ in a default _Service_ if that _Student_ was already enrolled in the same default _Service_ during another academic period for the same educational program. It prevents the automatic enrollment process from repeatedly re-adding a _Service_ the _Student_ has already had before for that program.
Where It Is Used
This setting has no dedicated screen of its own; it runs automatically in the background as part of the automatic Service enrollment process that is triggered when a Student’s educational program registration is created or its status changes.
Business Logic / Behavior
- Default value: disabled (unchecked).
- When disabled (default): whenever a Student qualifies for automatic enrollment in a default Service for an educational program, Classter enrolls the Student in that Service, regardless of whether the Student was already enrolled in it during a previous academic period for the same program.
- When enabled: before automatically enrolling the Student, Classter checks whether the Student was already enrolled in that same default Service in any other academic period for the same educational program. If so, the automatic re-enrollment for that Service is skipped for the Student.
- This check only applies to Services that are marked as default and auto-enroll for the educational program; it does not affect Services enrolled manually by staff.
- The setting works together with the registration statuses configured to trigger automatic Service enrollment; the re-enrollment check is only evaluated for Students who otherwise qualify for automatic enrollment.
Example(s)
Alpha Institute enables this setting. Student Julia M. was enrolled in the School Bus service, marked as default and auto-enroll for Grade 6, during the previous academic period while registered in Grade 6. In the new academic period, Julia’s educational program registration is re-created for Grade 6 again. Because Julia already had the School Bus service enrolled for Grade 6 in a previous period, Classter skips automatically re-enrolling her in School Bus this time. If the setting were disabled, Classter would automatically enroll her in School Bus again for the new period.
When to Use
When to Enable
Enable this setting when the institution wants to avoid automatically re-creating Service enrollments for Students who have already had that Service in a previous academic period for the same educational program, for example to prevent duplicate billing or redundant enrollment records when a Student’s registration is renewed or re-entered.
When to Disable
Keep this setting disabled (the default) when the institution wants every qualifying Student to be automatically enrolled in the default Services for their educational program each time they register, regardless of any prior enrollment history for that Service.
Notes
Prerequisites: default Services marked for auto-enroll must be configured on the “Manage default services per educational program” screen for this setting to have any effect.
