Setting ID: Status_For_Automatic_Service_Enrollment

Location: Main Settings > General Settings > Services Parameters tab, Basic Settings group.

 

What This Setting Does

This setting lets an institution select which _Student_ registration statuses in an educational program are allowed to trigger the automatic enrollment of default Services. Only when a Student’s educational program registration status matches one of the selected statuses will Classter automatically enroll the Student in the default Services configured for that program.

 

Where It Is Used

This setting has no dedicated screen of its own; it runs automatically in the background. It is checked whenever a Student’s educational program registration is created or its status changes, working together with the default services configured on the “Manage default services per educational program” screen.

 

Business Logic / Behavior

  • The list is a multiple selection of Student registration statuses (for example, statuses representing an active or confirmed registration).
  • When a Student’s educational program registration is newly created or its status changes, Classter checks whether the resulting status is in this selected list.
  • If the resulting status is in the list, Classter automatically enrolls the Student in the default Services that are marked for auto-enroll for that educational program (Grade, Stream, and registration category).
  • If the resulting status is not in the list, no automatic Service enrollment is triggered by that registration status change.
  • The change is recorded using the default change reason configured for automatic Service changes, when one is set.

 

Example(s)

Alpha Institute selects “Registered” and “Confirmed” as the statuses that enable automatic Service enrollment. Student Ana P. is registered in Grade 5 with status “Registered”. Because “Registered” is in the selected list, and Grade 5 has the Lunch Program service marked as default and auto-enroll, Classter automatically enrolls Ana in the Lunch Program. If her status were instead “Waiting List”, which is not in the selected list, no automatic enrollment would occur.

 

When to Use

Configure this list to match the registration statuses that represent a confirmed placement in an educational program at the institution, so that automatic Service enrollment only happens for Students who are genuinely registered, and not for Students who are, for example, only on a waiting list or pending application.

 

Notes

Prerequisites: the Student registration statuses used by the institution must already be configured before they can be selected here.

  • Related settings: Manage default services per educational program (Manage_Services_Per_Educational_Program in Services Parameters > Basic Settings)
  • Related settings: Default change reason for stopping/changing services (Default_Change_Reason_For_Activity_Changes in Services Parameters > Basic Settings)
  • Related settings: Do not re-enroll automatically enrolled default services if have been enrolled to at least one academic period for the same educational Program (Do_Not_Automatically_ReEnroll_Old_Services in Services Parameters > Basic Settings)

 

K-12 vs Higher Education: This setting behaves the same regardless of whether the institution is configured for K-12 or Higher Education.

 

Related configuration: _Student_ Status (Main Settings > Dropdown Lists > Students > Student Status) – manages the list of _Student_ registration statuses offered in this multi-select, which determines which statuses trigger automatic Service enrollment.
