Hide Enrollments View From Parents-Students

Overview

This article explains the application setting that controls whether the Enrollments option is visible to Parents and Students in their portal. It describes what the setting does, where it applies, the business rules behind it, and how to decide whether to enable or disable it for your institution.

 

What This Setting Does

The setting Hide Enrollments View From Parents/Students determines whether Parents and Students can see the Enrollments option in their portal. When visible, this option opens a summary window that lists, grouped by _Group_ (Class/Section), every _Subject_ (Course/Module) the _Student_ is currently registered in for the academic period.

By default, this setting is turned OFF, meaning the Enrollments view is visible to Parents and Students. Turning the setting ON hides this view completely from both roles.

 

Where It Is Used

This setting affects only the Parent and Student portals. It does not change anything for Teachers, Administrators, or other staff, who continue to see their own Students/Enrollments screens regardless of this setting.

When the setting is turned ON, the Enrollments option is hidden from:

  • The Student’s own dashboard, where it normally appears next to the count of _Groups_ the _Student_ belongs to.

The Parent’s dashboard, where it normally appears on each child’s Student card.

  • The ‘My Students’ list that Parents use to view their children, where the related _Group_ information is hidden together with the Enrollments option.

The dashboard used by enrollment/sales agents when acting on behalf of a Parent.

 

Business Logic / Behavior

  • The Enrollments view groups the _Student_’s academic data by _Group_ (Class/Section) and lists every _Subject_ (Course/Module) the _Student_ is registered in within that context.

Two related settings control extra details shown inside this same view while it is visible: whether enrolled Teachers are listed for each _Subject_, and whether the _Subject_ registration status (for example, Confirmed or Pending) is shown. Both of these settings only have a visible effect while the Enrollments view itself is turned on (visible).

  • This setting behaves identically in K-12 mode and in Higher Education mode. The only difference between the two modes is terminology: in K-12 mode the view refers to _Groups_ and _Subjects_ (Classes and Subjects), while in Higher Education mode – when the college/university terminology is enabled – the same view refers to _Groups_ (Cohorts/Sections) and _Subjects_ (Courses/Modules), following the terminology configured for the institution. Whether the view is shown or hidden does not change between the two modes.

The setting applies institution-wide; it is not configurable per individual Parent or Student.

Example 1 – K-12 Mode

Alpha Institute keeps this setting turned OFF. Maria P., a parent, logs into the Parent portal and opens her child George S.’s Student card. There she finds an Enrollments option, which opens a window showing that George S. is registered in _Group_ 5A for the _Subjects_ Mathematics, English, and Science. When George S. logs into his own Student portal, he sees the same Enrollments option on his dashboard.

If Alpha Institute turns this setting ON, both Maria P. and George S. stop seeing the Enrollments option. The rest of the portal (grades, attendance, timetable, and so on) is unaffected.

Example 2 – Higher Education Mode

Beta College operates with the college/university terminology enabled and keeps this setting turned OFF. A student, Nikos A., opens his Student portal and selects Enrollments. The window shows his _Group_ (for example, Semester 2 – Business Administration) together with the _Subjects_ he is registered in, such as Financial Accounting and Marketing Principles, along with each _Subject_’s registration status, because Beta College also keeps the related registration-status setting turned on.

If Beta College turns this setting ON, the Enrollments option disappears from Nikos A.’s dashboard and from the dashboard of any Parent or Guardian linked to his profile.

 

When to Use

When to Enable

  • The institution prefers Parents and Students to focus on grades, attendance, and announcements without an additional Enrollments summary.

The information shown in the Enrollments view (_Group_ and _Subject_ assignments) is already communicated to Parents/Students through other channels, such as printed schedules or enrollment confirmation letters.

  • The institution wants to simplify the Parent/Student portal for a specific rollout phase or user group.

When to Disable

  • Parents and Students should be able to self-check which _Groups_ and _Subjects_ a _Student_ is registered in without contacting the office.

The institution also uses the related settings for showing enrolled Teachers or _Subject_ registration status, since both only matter while the Enrollments view is visible.

  • The institution wants to reduce support requests about what a Student is currently registered for.

Related settings, which only affect details inside the Enrollments view and matter only while this setting is turned OFF:

  • Show Enrolled Teachers on Parent Portal/Show_Enrolled_Teachers_on_parent_Portal (Student/Parents Portal > Visibility Settings and Rights)

Show Subject Registration Status on Parent Portal/Show_Subject_Status_Registration_Status_On_Parent_Portal (Student/Parents Portal > Visibility Settings and Rights)

No other configuration needs to be completed before using this setting; it can be turned on or off independently of any other setup.
