Display label: User types that receive notifications when end users change their personal data

Location: Main Settings > General Settings > Student/Parents Portal > Personal Data Management

 

What This Setting Does

This setting decides who is notified when a _Student_ or Parent changes their personal data through the portal: either a fixed list of employees, or the _Student_’s own mentor.

 

Where It Is Used

This setting runs automatically with no dedicated screen of its own. It fires whenever a _Student_ or Parent submits a personal data change through the profile information management form; the notification is sent as an internal message or email depending on the institution’s messaging configuration.

 

Business Logic / Behavior

  • Employees (default): the change-request notification is always sent to the employees configured in the companion notification-recipients setting.
  • Mentors: the notification is sent to the _Student_’s active mentor instead, but only if that _Student_ has an active mentor with a valid email address; if there is no active mentor, or no valid email, the notification automatically falls back to the configured employees.
  • The setting only affects who is notified when a _Student_’s data changes; for other profiles – for example a Parent’s own contact details – the configured employees are always notified.
  • Employees can still review the requested change and copy it into the official record; the notification itself does not automatically apply the change.

 

Example(s)

Alpha Institute wants academic mentors to be the first point of contact for personal data updates, so the administrator sets this setting to Mentors. When _Student_ Anna K. updates her home address through the portal, Classter checks her active mentor, Mrs. Eleni V., finds she has a valid email address, and sends the change notification to her instead of the general administration office. For a different student without an assigned mentor, the notification is automatically sent to the configured administration employees instead.

 

When to Use

Set this to Mentors when the institution wants personal-data change requests routed to the _Student_’s own mentor for a more personal follow-up. Set it to Employees, the default, when the institution prefers all such requests to go to a central administration team.

 

Notes

Prerequisites: the employees who should be notified must be selected in the companion setting; the Mentors option additionally requires the _Student_ to have an active mentor with a valid email address.
