What This Setting Does

A _Student_ can end up with more than one educational program record over time – for example after changing _Grade_, repeating a year, or transferring between programs. This setting tells Classter which educational program statuses (such as Enrolled or Discontinued) should be treated as valid when the Student/Parents Portal links academic data – grades, attendance, assignments and similar entries – back to a specific educational program record.

If no status is selected, Classter does not filter by status at all: academic data from every educational program record the _Student_ has is returned.

 

Where It Is Used

There is no dedicated screen for this setting beyond this settings tab. It runs automatically in the background whenever the Student/Parents Portal needs to connect academic data – such as grade or attendance entries – to a specific educational program record for a _Student_.

 

Business Logic / Behavior

  • The setting stores a list of educational program statuses, chosen from the same status list used to track a Student’s registration state (for example Enrolled, Discontinued, or Transferred).
  • When one or more statuses are selected, only educational program records whose current status is in that list are used to logically connect academic data entries with an educational program.
  • When no status is selected, no logical connection filtering is applied – academic data from all of the Student’s educational program records is returned.
  • The filter is applied wherever Classter resolves a Student’s educational program history for academic-data purposes, so it affects every part of the Student/Parents Portal that displays academic data tied to a specific educational program record.

 

Example(s)

Alpha Institute has a _Student_, Anna K., who was Enrolled in _Grade_ 8 for the first semester, then was marked Discontinued mid-year before being re-enrolled in the same _Grade_. If the administrator selects only Enrolled in this setting, the Student/Parents Portal links Anna’s grade and attendance entries only to her currently Enrolled educational program record and ignores the Discontinued one. If the administrator leaves the setting empty, both the Enrolled and Discontinued records are used, and Anna’s parent may see academic data associated with both periods.

 

When to Use

Use this setting when the institution wants academic data shown to Students and Parents to reflect only relevant educational program records – particularly useful for institutions where Students frequently change _Grade_, repeat a year, or otherwise accumulate more than one registration record within the same period. Leave the setting empty when the institution wants all academic data returned regardless of the underlying educational program status.

 

Notes

Prerequisites: none – the setting works with the institution’s existing registration status list.

K-12 vs Higher Education: this setting behaves the same regardless of the type of institution.

Related configuration: _Student_ Status (Main Settings > Dropdown Lists > Students > Student Status) – manages the list of registration status codes offered here, used to determine which _Educational_Program_ statuses are treated as valid when linking academic data to an _Educational_Program_ record.
