Allow Teachers to add period Class comments

Overview

This article explains the application setting that acts as the master on/off switch controlling whether Teachers, as a role, are allowed to upload files to a Student’s profile from within their own Teacher portal.

The setting is named “Allow Teachers to upload Student profile files” (setting ID: Allow_Teachers_to_Upload_Student_Profile_Files) and is found under Configuration > Main Settings > General Settings > Teachers Portal Rights .

It belongs to the Teachers Portal Rights settings group and is a company-wide setting, meaning it applies to the whole institution rather than per Academic Period, per Role, or per individual user.

 

What This Setting Does

This is an on/off (checkbox) setting. It is enabled by default.

  • When enabled (default): Teachers who are otherwise able to view a Student’s profile are allowed to add new files, links, or locally stored files to that Student’s Files section, subject to further narrowing by related settings (see Notes below).

When disabled: no Teacher – regardless of their relationship to the Student, whether ordinary Teacher, Mentor, or Supervisor – can upload any file to a Student’s profile from the Teacher portal. The upload options simply do not appear.

In simple terms, this setting is the main gate that must be open before any more detailed rule about which Teachers can upload, or which file categories they may choose from, comes into play.

This setting allows Teachers who are not supervisors of the class to add Progress Comments.

Example

Setting -> Active

Teacher Elaine Borg is not supervisor in Y3G Class, but she can add new progress comment, as shown below



Setting -> Inactive

When this setting is inactive, the teacher cannot add new comments to classes where she is not supervisor.

 

Where It Is Used

This setting applies inside the Teacher’s own portal, on the Student Statistics page – the page a Teacher opens to review one specific Student’s academic progress (marks, attendance, remarks, and similar information). On that page there is a Files section, where files and links previously uploaded for the Student can be seen, and where new files, links, or locally stored files can be added if the Teacher is allowed to do so.

This setting decides whether the “Add File”, “Add Link”, and “Add Local File” options are shown at all to Teachers on that Files section. It does not affect whether a Teacher can view files that are already there – viewing files is governed by separate visibility settings (see Notes below).

Note: This setting affects only Teachers viewing the Files section from the teacher-facing Student Statistics page. It does not affect Administrators, Secretaries, or other back-office staff, whose ability to upload files to a Student’s profile from the Administration Portal is governed separately and is not affected by this setting.

 

Business Logic / Behavior

  • This setting is the master switch for Teacher uploads to Student profile files. Turning it off disables uploading for every Teacher, regardless of any other related setting.

When enabled, the actual right to upload is further refined by a companion setting that specifies which teacher relationship types – ordinary Teacher, Mentor, or Supervisor – are allowed to upload (see Related Settings below); by default, all three relationship types are permitted.

  • When enabled, the file categories a Teacher may choose from when uploading can also be restricted by a separate setting; if left unrestricted, Teachers can choose from all available file categories.

This setting only controls the upload/add actions. Viewing files that are already present on a Student’s profile is governed independently and is not switched off by disabling this setting.

  • The Files section itself must already be visible to Teachers for this setting to have any practical effect (see Prerequisites in Notes below).

This setting applies uniformly across the institution. It is not specific to a single Grade, Group, Subject, or individual Teacher.

 

Example(s)

Example 1 – Uploads allowed

Meadowbrook Academy keeps this setting enabled (the default). Mr. John Carter teaches Mathematics to a Group that includes the student Emily Stone. When John opens Emily’s Student Statistics page and goes to the Files section, he sees the “Add File” option and uploads a scanned copy of a signed field-trip permission form to her profile.

Example 2 – Uploads switched off institution-wide

Silverlake University disables this setting entirely, because it wants all documents added to a Student’s profile to go through its administration office rather than through teaching staff. Dr. Rachel Adams, who is the personal Mentor of the student Daniel Reed, opens Daniel’s Student Statistics page but does not see any “Add File”, “Add Link”, or “Add Local File” option on the Files tab – even though she is his Mentor – because the master switch for Teacher uploads is off. Rachel instead forwards the document to the administration office so it can be added there.

 

When to Use

When to Enable

Enable this setting when the institution wants at least some Teachers to be able to attach supporting documents – such as consent forms, medical notes, or coursework – directly to a Student’s profile from their own portal, without needing an administrator to add these on their behalf.

When to Disable

Disable this setting when the institution prefers that all files on a Student’s profile are added only by administrative or back-office staff, keeping Student documentation centrally controlled and outside any Teacher’s ability to add records – regardless of that Teacher’s relationship to the Student (ordinary Teacher, Mentor, or Supervisor).

 

Notes

Prerequisites

  • The Files section must already be visible to Teachers for this setting to matter, which depends on the “Show My Files Section”/Show_Personal_Files ( Configuration > Main Settings > General Settings > Basic Customization ) setting including Teachers among the user types allowed to see this section.

Related Settings

  • Teacher Types Allowed to Upload Student Profile Files”/Teacher_Types_Allowed_to_Upload_Student_Profile_Files ( Configuration > Main Settings > General Settings > Teachers Portal Rights ) – once this master switch is enabled, defines exactly which teacher relationship types (Teacher, Mentor, Supervisor) may actually upload.

“File Categories Enabled for Student Profile Files”/File_Categories_Enabled_For_Student_Profile_Files ( Configuration > Main Settings > General Settings > Teachers Portal Rights ) – once uploading is allowed, defines which file categories a Teacher can choose from.

  • “Show My Files Section”/Show_Personal_Files ( Configuration > Main Settings > General Settings > Basic Customization ) – controls whether the Files section is visible to Teachers at all; this setting only matters once that visibility is granted.
