Custom Student Registration Number Format

Overview

Institutes can now define custom student registration numbers with specific prefixes and formats, ensuring unique and consistent numbering. The system automatically generates and applies these numbers instantly, streamlining student enrollment and record-keeping.

 

How to Enable and Configure

To enable and use it navigate to: Main settings > General settings > Student form > Educational Program Registration Numbering > Educational program registration numbering format (Auto Mode).

Keep in mind that you should also turn on the Enable auto-generation of the Educational Program Registration Number setting.

 

Choosing Prefix Components

  • Choose Prefix Components

The prefix can be a combination of the following options:

  1. Location Abbreviation: Short code for the location (e.g., “NY” for New York).
  2. Grade Abbreviation: Short name for the grade (e.g., “G10” for Grade 10).
  3. Grade External ID: Unique ID for the grade in the system.
  4. Academic Period Description: Name of the academic year or semester (e.g., “2025-2026”).
  5. Academic Period External ID: Unique code for the academic period.
  6. Academic Period Characterization Format: A special format or tag for the academic period.
  7. Incremental Number: The number at the end that increases for each new student.

 

Defining the Number of Digits

Decide the number of digits for the incremental part (Digits Number: e.g., 2, 3, or 4 digits). Leave blank for plain numbering.

 

Below is an example of a configured registration numbering format.

 

 

Saving a new Educational Program, registration numbers are generated dynamically based on the prefix and incremental digits.

 

 

Note: Registration numbers remain unchanged when a student’s grade is updated.
