Introduction | Roles & Rights Management

As you may already know, Classter is a Modular student and learning management system. This fact is important for you to keep in mind when managing and configuring roles.

Classter allows users such as students, teachers, employees, parents and admins to logon to their personal user profiles so that they may use it to View, Manage, configure data in their portal in some or all Academic Periods (depending on Admin Configuration).

Roles in Classter may vary from institution to institution and may be described differently. The one constant though are the role types, these types are predefined by the system and work as templates for you to create your different roles. These fixed role types are Administrator/Admin, Student, Lecturer/Teacher, Staff/Employee and Parent/Guardian. Each role type has specific predefined rights and privileges given by default. In this manual you will see how you can create roles by configuring the role types in a way that suits your needs.

You can define the modules, menus, privileges etc. a role with a specific role type can have.

E.g Employees with specific job descriptions may need access to different modules to complete their job on Classter. A secretary in one institution may be tasked to monitor payments and create events on the calendar. This means that the Secretary role you create may use a role type “Staff/Employee” but with access only to the Billing and Core modules and to limit it even more only to the transaction’s menu of the Billing module and the Calendar menu of the core module. Not all staff/employees will have access to the same modules and menus.

Once you have understood the philosophy of Roles Management page, you will be ready to begin!

To start managing roles please follow the steps outlined in Figure 1. From the main menu in the configuration section, click on Main Settings>Role Management. You will be transferred to the Role Management page (Figure 2).

Note: The language used in the system ισ configurable and may appear differently from institution to institution.

Once you follow the first steps you will be transferred to the Roles Management page. Here you will see the various user roles (In the system User Roles are just mentioned as Roles) that have been created and the role types (In the system Role Types are just mentioned as Types) they are associated with: Lecturer/Teacher, Student, Parent/Guardian, Staff/Employee (Figure 2). The roles you see are the basic user roles of Classter, you can create new roles based on these five main roles types Student, Lecturer/Teacher, Parent/Guardian, Staff/Employee and Administrator/Admin. For Example, you can create the role Secretary based on the user type Employee.

You can manage each role. You can edit or delete them as you prefer. You can change their order by dragging and dropping up or down.

See the options you have from the actions button below (Figure 3):

  1. Click on the Action button.
  2. Click on Edit to make changes to the user’s role.
  3. Click on Delete to remove user role.
  4. Click on Copy Role & Rights to Period to copy the specific Role and Rights to a different Academic Period e.g 2019-2020.
  5. Click on Copy Role & Rights to Institute to copy the specific Role and Rights to a different Institution e.g St. Nicholas.
  6. Click on Copy Role & Rights to Role to copy the Role and Rights to a different user Role e.g Administrator.

If you have clicked on ‘Copy Role & Rights to Period’ you will view a popup window where you will be able to select an Academic Period to transfer the user role (Figure 3a). Click on ‘Save’ button to save changes.

If you have clicked on ‘Copy Role & Rights to Institute’ you will view a popup window where you will be able to select an Institute to transfer the user role (Figure 3b).

Note: If you switch on the option “Copy Reports Only” this action will copy only the role information regarding the reports available for this user role (Figure 3b).

If you have clicked on ‘Copy Role & Rights to Role’ you will view a popup window where you will be able to select a Role to which you want to paste the new role & rights. (Figure 3c).

Remember to click on “Save” to make sure any action is complete.

If you have clicked on the Edit button from the Actions dropdown (Figure 3) you will be directed to another page view where you will be able to change user role information Figure 4.
