Restrict Teachers to Subjects They Teach in Student Academic Progress

Overview

This setting controls how much of a Student (Learner)’s academic information a Teacher (Educator/Instructor) can see when reviewing that Student’s Academic Progress. When switched on, each Teacher only sees marks, grades, and related statistics for the Subjects (Courses/Modules) they personally teach to that Student. Information about the Student’s other Subjects, taught by other Teachers, is left out of that Teacher’s view.

This is a simple on/off (checkbox) setting, found under the Teachers Portal Rights settings group, and it applies institution-wide – meaning it affects every Teacher across the institution rather than being configured per Group, per Subject, or per individual user.

Note: although the internal technical name of this setting refers to Subjects the Student has “not declared”, its actual effect is based on which Subjects a Teacher is formally assigned to teach that Student – not on any Subject selection made by the Student. This is the confirmed behavior of the setting, regardless of what its internal name might suggest.

 

What This Setting Does

When this setting is enabled, a Teacher who opens a Student’s Academic Progress screen no longer sees a full, institution-wide picture of that Student. Instead, the screen narrows itself down to only the Subjects that this specific Teacher is currently assigned to teach that Student. Marks, grades, exam results, attendance information, and similar statistics for any other Subject the Student is taking – one taught by a different Teacher – are hidden.

When this setting is left disabled (its default state), every Teacher who has access to a Student’s Academic Progress screen sees the complete academic picture for that Student, across all of the Student’s Subjects, regardless of which specific Subjects that Teacher personally teaches.

In short: this setting turns a Teacher’s view of a Student’s Academic Progress from a full, all-Subjects view into a narrower, ‘my Subjects only’ view.

 

Where It Is Used

This setting applies to the Academic Progress screen that a Teacher opens for an individual Student – for example by selecting a Student from a Group (Class) roster and choosing to review their academic record. Specifically, it affects:

  • The Subject selector and the marks/grades statistics shown for the Student on that screen.
  • Exam and examination result statistics available to the Teacher for that Student.
  • Attendance and absence information, including absence calendars, that the Teacher can review for that Student.
  • Daily marking notes recorded for the Student.
  • Grade graphs a Teacher may view for a whole Group (Class), which are narrowed to the Teacher’s own Subjects in the same way.

Setting location:

Main Settings > General Settings > Teachers Portal Rights (tab) > Basic Settings (section) > Student’s Academic Progress Form: Teachers can only view statistics for Subjects they teach

This setting only affects what Teachers see. It does not affect what the Student or their Parents see about their own record, it does not affect Administrators, Secretaries, or other back-office staff, and it does not hide a Subject from any other Teacher who genuinely teaches that Subject to the Student.

 

Business Logic / Behavior

  • This setting is disabled by default. Until an administrator turns it on, every Teacher sees the Student’s complete academic picture across all Subjects.
  • Once enabled, the restriction is based on which Subjects a Teacher is officially assigned to teach a given Student, not on any choice made by the Student. A Subject only ‘counts’ for a Teacher if that Teacher is actively registered as the teacher of that Subject for that Student.
  • The restriction applies specifically to the Teacher role. A Student’s Mentor (Academic Advisor), Administrators, Secretaries, and other back-office roles are not affected by this setting and always see the Student’s full academic picture, even when this setting is enabled.
  • If a Teacher is not currently assigned to teach the Student any Subject at all, enabling this setting means that Teacher will see no Subject-level academic data for that Student, since there is no assigned Subject for the restriction to show.
  • This setting narrows the data shown within the Academic Progress screen; it does not decide which tabs appear on that screen in the first place (see the related ‘Enabled functions for Teachers in Academic progress View’ setting in the Notes section).

 

Example(s)

Example 1 – Focused view for a subject Teacher (K-12)

Greenwood High School has enabled this setting. A student named Alex Turner is enrolled in Mathematics, Physics, English, and History, each taught by a different Teacher. Mr. Daniel Ree*** teaches Alex only Mathematics. When Mr. Ree*** opens Alex’s Academic Progress screen, he only sees marks, grades, and attendance statistics for Mathematics. The Physics, English, and History information is not shown to him. Ms. Sophia Benn***, who is registered as Alex’s Mentor, opens the same screen and sees the complete picture across all four Subjects, since the restriction does not apply to Mentors.

Example 2 – No restriction (default behavior)

Bright Horizons Academy leaves this setting disabled. When any Teacher opens a Student’s Academic Progress screen, they see the Student’s marks, grades, exam results, and attendance across every Subject the Student takes, regardless of which specific Subjects that Teacher personally teaches.

Example 3 – Higher Education example

Lakeside University, which runs in Higher Education mode, enables this setting. A student named Maria Novak is registered for Introduction to Economics, Business Statistics, and Marketing Principles, each taught by a different Lecturer. Dr. Peter Collins, who lectures Maria only in Introduction to Economics, opens her Academic Progress screen and sees statistics for Introduction to Economics only. Business Statistics and Marketing Principles data, taught by other Lecturers, is not shown to him.

 

When to Use

When to Enable

  • The institution wants each Teacher to focus only on the Subjects they personally teach a Student, without browsing that Student’s performance in unrelated Subjects taught by colleagues.
  • The institution has many Subject Teachers per Student (common in secondary schools, colleges, and universities) and wants to keep each Teacher’s view relevant and uncluttered.
  • The institution wants an added layer of data privacy between departments or subject areas, so that grading and performance data stays visible only to the Teacher directly responsible for it.

When to Disable

  • The institution wants every Teacher to have full visibility of a Student’s overall academic record, for example in smaller schools where Teachers act as generalists or homeroom Teachers who need the full picture.
  • The institution already manages holistic oversight through Mentors or Academic Advisors and additionally wants ordinary Teachers to see the complete picture rather than only their own Subjects.
  • The institution prefers simpler day-to-day use, where any Teacher reviewing a Student’s Academic Progress does not need to cross-check with colleagues to get the full academic context.

 

Notes

Prerequisites

  • A Teacher must already be properly assigned as the teacher of at least one Subject for the Student in question (through the institution’s normal Subject/Class-teacher assignment process). Without such an assignment, enabling this setting leaves that Teacher with no Subject-level data to see for that Student.

  • “Student’s Academic Progress Form: Teachers can view marks from Pre-requisite Subjects” (Main Settings > General Settings > Teachers Portal Rights > Basic Settings – Students Academic Progress Form Teachers Can View Marks From Prerequisite Subjects) – a related setting that, when enabled, lets Teachers additionally see marks from a Student’s pre-requisite Subjects taken in previous academic years.
  • “Enabled functions for Teachers in Academic progress View” (Main Settings > General Settings > Teachers Portal Rights > Basic Settings – Enabled Functions For Teachers In Academic Progress View) – controls which tabs appear at all on the Academic Progress screen; this setting narrows the data shown within those tabs once they are visible.
  • “Student’s Academic Progress Form: Hide Comparison Graphs” (Main Settings > General Settings > Teachers Portal Rights > Basic Settings – Academic Progress Form Hide Comparison Graphs) – hides Student-versus-Group comparison charts that may otherwise appear on the same screen.
  • “Hide Fellow Teachers List” (Main Settings > General Settings > Teachers Portal Rights > Basic Settings) – a similarly-purposed setting that restricts what Teachers can see about their colleagues rather than about Students.
  • “Enable Configuration for Higher Education” (Main Settings > General Settings > Higher Education Customization > Basic Settings) – switches the institution into Higher Education mode; see the K-12 versus Higher Education section below.

K-12 Mode vs. Higher Education Mode

This setting behaves identically in K-12 Mode and in Higher Education Mode: in both cases, the restriction is based on which Subjects a Teacher is officially assigned to teach a Student, and Mentors/Academic Advisors are always exempt from the restriction. It is not related to, and does not depend on, a Student’s own course registration or declaration process, which is a separate feature used mainly in Higher Education mode. The only difference end users may notice between the two modes is wording: in Higher Education Mode, on-screen labels typically follow the institution’s Higher Education terminology (for example, Teacher may be displayed as Lecturer or Instructor, and Subject as Course or Module), while K-12 Mode uses the default terminology.
